Administrative Supervisor | Legal Billing & Office Operations | Jacksonville, FL

LHH is partnering with a multi-office law firm to identify a highly organized Administrative Supervisor to oversee legal billing operations and office administration for their Jacksonville office. This is an excellent opportunity for a seasoned legal administrative professional who thrives in a fast-paced, collaborative environment and has strong experience supporting attorneys, managing billing workflows, and leading office operations.

Compensation: $80,000 to $90,000 annualized salary + competitive benefits

Key Responsibilities Legal Billing & Financial Administration
  • Oversee day-to-day legal billing operations, including prebills, edits, and final invoicing
  • Distribute prebills to attorneys and ensure timely submission of finalized bills
  • Track billing deadlines and follow up with attorneys and staff as needed
  • Partner with Finance on billing inquiries, write-downs, and client-related adjustments
  • Review and process invoices, reimbursements, and vendor payments
  • Assist with monitoring local office expenses and budget considerations
Office Operations & Administration
  • Ensure smooth daily operations of the Jacksonville office
  • Serve as liaison between the Jacksonville office and firm leadership
  • Maintain a professional office environment and coordinate maintenance needs
  • Manage office supplies, equipment, and vendor relationships
  • Partner with records team to ensure compliance and secure file management
  • Coordinate staff schedules, PTO, and timekeeping processes
  • Support onboarding and training in collaboration with HR
  • Promote a professional, inclusive, and team-oriented office culture
Communication & Coordination
  • Act as a key point of contact between attorneys, staff, and leadership
  • Coordinate meetings, events, and conference room scheduling
  • Handle internal office communications and announcements
  • Liaise with IT to resolve system or equipment issues
  • Ensure adherence to firm technology protocols and data security
  • Support compliance with firm policies, training, and safety procedures
Qualifications
  • 5+ years of office management or administrative leadership experience in a law firm or professional services environment
  • Prior law firm billing experience required
  • Strong knowledge of legal billing processes, time entry, prebills, and billing cycles

    Experience supporting attorneys and partnering with finance teams
  • Excellent organizational, problem-solving, and communication skills
  • Proficiency in Microsoft Office Suite
  • Exposure to HR and financial processes within a legal environment preferred
