Job Title: Executive Administrative Assistant
Location + Work Type: Onsite Jacksonville, FL
6 MONTH
Schedule:
- Full-time
- Monday Friday, 8:00 AM 5:00 PM
- 1-hour unpaid lunch
Job Summary:
Seeking an experienced Executive Administrative Assistant to provide high-level support to executive leadership. This role requires exceptional organizational, communication, and multitasking skills while managing calendars, travel, reports, meetings, and special projects in a fast-paced business environment.
Responsibilities:
- Provide executive administrative support to senior leadership
- Manage complex calendars, meetings, and scheduling
- Coordinate travel arrangements, including flights, hotels, and ground transportation
- Prepare meeting agendas and record meeting minutes
- Compile executive reports, financial updates, and business summaries
- Coordinate sales events, customer visits, trade shows, and internal events
- Produce and distribute daily and weekly business reports
- Track action items and follow up on deliverables
- Process expense reports and support administrative projects
- Maintain files, reports, and other business documentation
- Perform additional administrative duties as assigned
Required Skills:
- Associate or Bachelor's degree
- 3 5 years of executive administrative or office experience
- Strong Microsoft Office skills (Excel, Word, Outlook)
- Excellent typing, proofreading, and business writing skills
- Strong organizational and time management skills
- Ability to prioritize multiple projects with minimal supervision
- Strong verbal and written communication skills
- Attention to detail and problem-solving abilities
- Ability to adapt to changing priorities
- English proficiency
Preferred Skills:
- Previous executive-level support experience
- Advanced Microsoft Excel skills
- Experience with Concur and expense reporting
- Bilingual in Spanish
Tools/Environment:
- Microsoft Excel, Word, Outlook, PowerPoint, Access, and Project
- Concur (preferred)
- Fast-paced executive office environment
- Up to 5% travel as needed
