About the Role

The C‑Suite Executive Assistant (EA) provides high‑level administrative support to executive(s) and their teams at FIS, ensuring timely responses, efficient coordination, and seamless execution of daily operations. This role demands agility, discretion, and a proactive mindset to orchestrate schedules, global communications, and cross‑functional collaboration with speed and accuracy. The position is located in Jacksonville, FL and requires in‑office presence, though some hybrid days may be available.

You Bring
  • Minimum of 5 years as an Executive Assistant supporting C‑suite (President or above).
  • Self‑starter who requires little or no supervision, decisive, and able to push back when necessary to keep the Executive on task.
  • Strong ability to contribute ideas, serve as a leadership team member, and act as an ambassador for the Executive and team.
  • Experience coordinating international travel.
  • Proficiency in MS Outlook, Word, Excel, PowerPoint, Teams, and SharePoint.
  • Ability to follow through on open items with a strong attention to detail.
  • Capacity to maintain confidentiality, communicate information effectively, and maintain accurate records.
  • Adaptability to change and ability to react to evolving business needs.
  • Familiarity with AI‑enhanced productivity tools and willingness to adopt emerging technologies to improve processes and outcomes.
  • Effective written and verbal communication skills.
  • Ability to establish and maintain effective working relationships with executives, employees, clients, and the public.
What You Will Be Doing
  • Manage the executive’s schedule, including arranging appointments, travel, meetings, expense management, and conference calls.
  • Perform high‑level administrative duties, such as meeting planning, coordination of agendas, and handling meeting requests.
  • Build strong relationships with other Executive Assistants to enable close collaboration across teams.
  • Act as a gatekeeper, providing a bridge for smooth communication between the executive and stakeholders.
  • Analyze business needs, anticipate requirements proactively, and exercise judgment within established practices and policies.
  • Work under minimal supervision while delivering excellent customer service, time management, and organizational skills.
  • Edit materials for grammar, punctuation, clarity, and sentence structure.
  • Distribute prepared materials to appropriate parties and revise as directed.
  • Maintain files on correspondence, reports, and other records, and keep the executive and leadership team informed of meeting changes.
  • Apply communication skills, both written and verbal, to share knowledge and updates effectively and efficiently.
Board & Committee Support
  • Coordinate all scheduling for the Board of Directors, including meetings, hotel reservations, meeting space, event planning, air travel, and ground transportation.
  • Serve as the main contact point for all directors’ needs.
  • Coordinate the timeline and scheduling of internal executive meetings related to the preparation, review, and distribution of agendas and materials for board and committee meetings.
  • Manage the distribution of board and committee meeting materials via platforms such as Board Vantage.
  • Draft meeting agendas and board notices.
  • Serve as project manager for deliverables for each quarterly board meeting.
  • Handle payment of director fees.
