Entry Level Administrative Assistant
This role provides front desk reception, administrative support, and mailroom coordination in a professional office environment. The Administrative Assistant serves as the first point of contact for visitors and callers, manages high-volume phone traffic, supports scheduling and office operations, and handles incoming and outgoing mail and packages. This position offers opportunities for growth and development within a collaborative team environment.
Responsibilities:
- Greet visitors and provide professional front desk support.
- Answer and route 100-200 incoming phone calls per day.
- Manage incoming and outgoing mail, packages, and courier deliveries.
- Scan, organize, and maintain electronic documents and records.
- Route emails, faxes, and messages to appropriate team members.
- Prepare, print, and assemble business documents as needed.
- Order and maintain office supplies.
- Coordinate meeting room schedules and calendars.
- Perform filing, data entry, and general administrative support.
- Utilize Outlook, Word, Excel, Adobe, and other office software.
- Provide excellent customer service over the phone and in person.
- Support office operations and assist team members as needed.
- Maintain an organized and professional front desk area.
Essential
Skills:
- 1+ year of administrative, receptionist, or customer service experience.
- Proficiency with Microsoft Word, Excel, Outlook, and Adobe.
- Strong verbal and written communication skills.
- Ability to multitask in a fast-paced environment.
- Strong attention to detail and organizational skills.
- Experience handling high call volumes and office communications.
- Professional, customer-focused demeanor.
Additional Skills &
Qualifications:
- Associate's or Bachelor's degree preferred.
- Experience supporting general office operations.
- Familiarity with scheduling, filing, and document management.
- Customer service or front desk experience preferred.

This is a Contract to Hire position based out of Jacksonville, FL.
Pay and Benefits:
The pay range for this position is $18.00 - $18.00/hr eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
