Job Description:
The Administrative Assistant II is the first point of contact for all patients referred to the Northeastern Early Steps Program. This position acts as a liaison between patients, physicians, and other community providers on behalf of the division. The Administrative Assistant II will maintain accurate records and assure the division is complying with regulatory requirements. This position will process incoming referrals and information for the division while offering support to both patients and providers.
Patient Communication and Inquiries – answering phone calls, emails, and faxes to screen potential patients, assess their needs, and provide information about services. Intake and Registration – gathering personal information, medical history, and required documentation to register new patients into Electronic Health Record (HER) systems. Scheduling and Coordination – coordinating appointments and acting as a liaison between clients, clinicians, and various departments.
Documentation and Compliance – maintaining accurate, confidential records while ensuring all paperwork complies with regulatory requirements. Referral Management – processing incoming referrals and maintaining relationships with referral sources.
Expected Salary: $19.16 - $23.95 per hour depending on education and experience
Required Qualifications:
High school diploma or equivalent and four years of relevant experience or an equivalent combination of education and experience. This position requires a Level II DCF background check including fingerprinting.
Preferred:
Associates degree and four years clerical/customer service experience preferred, ideally in a health care or education serving pediatrics population. One year computer imputing data and reviewing patient demographic material preferred.
