Front Desk Receptionist

Job Type: Part-time, W-2, nonexempt

Schedule: Monday through Thursday;
Fridays off

Work Location: In person

Position Summary

Superior Health and Wellness Group is seeking a dependable, professional, and organized Front Desk Receptionist for our outpatient integrated behavioral health practice. This individual will serve as the first point of contact for patients and help ensure that daily front-office operations run smoothly.

The ideal candidate is friendly, patient, comfortable communicating by telephone, attentive to detail, and able to complete assigned responsibilities with minimal supervision. Because this position involves access to confidential patient information, discretion, professionalism, and compliance with HIPAA requirements are essential.

Primary Responsibilities
  • Greet patients and visitors courteously and professionally
  • Check patients in and out for appointments
  • Answer incoming telephone calls and route messages appropriately
  • Schedule, reschedule, and confirm appointments
  • Monitor appointment schedules and notify providers when patients arrive
  • Collect and update patient demographic and insurance information
  • Obtain copies of identification and insurance cards
  • Collect copays and patient balances according to practice procedures
  • Provide receipts and accurately document payments
  • Upload and organize documents in the appropriate electronic record
  • Send routine appointment reminders and practice communications
  • Route refill requests and clinical questions to the appropriate provider
  • Monitor front-desk messages and complete assigned follow-up tasks
  • Maintain a clean, organized, and welcoming reception area
  • Follow established opening and closing procedures
  • Protect patient confidentiality and comply with HIPAA requirements
  • Follow practice policies, workflows, and written procedures
  • Assist with other routine front-office duties as assigned
Position Limitations

The receptionist does not provide medical advice, interpret clinical information, make treatment decisions, guarantee insurance coverage, or sign documents on behalf of a provider. Provider signatures, login credentials, electronic signatures, and identifying information may not be used without the provider's specific authorization.

Minimum Qualifications
  • High school diploma or equivalent
  • Professional telephone and customer-service skills
  • Basic computer proficiency
  • Ability to learn electronic health record and scheduling systems
  • Ability to follow written instructions and established workflows
  • Strong attention to detail and organizational skills
  • Ability to maintain patient confidentiality
  • Dependable attendance and reliable transportation
  • Ability to communicate respectfully with patients, providers, and coworkers
  • Ability to successfully complete required background and employment screening
Preferred Qualifications
  • Previous receptionist, customer-service, or medical-office experience
  • Experience working in a behavioral health or healthcare setting
  • Familiarity with electronic health records
  • Familiarity with appointment scheduling and insurance information

Medical-office experience is preferred but not required. Training will be provided to the right candidate.

Compensation and Employment Status
  • Part-time, hourly, nonexempt W-2 position
  • Monday through Thursday with Fridays off
  • Not currently eligible for employer-sponsored health insurance or full-time benefits
  • Future compensation adjustments may be considered based on performance, attendance, business needs, and budget availability
