Overview

The Administrative Assistant provides administrative support to on-site project management and staff, including administrative functions, accounting reporting and serves as a liaison for employees.

Work Location is on a project site, construction environment.

Responsibilities
  • Ensure forms are available for the project teams as required.
  • Schedule meetings for location.
  • Track Time and Material items for monthly billings.
  • Collect data and distribute daily, weekly and monthly reports as required.
  • Prepare internal and external communications for project site / team as required.
  • For project site, collect hours and project site information and enter the information and hours worked into time keeping software for hourly project craft employees.
  • Assist Project Team with administrative support as required.
Qualifications
  • Minimum of three (3) years of experience in a construction environment preferred.
  • Associate’s degree in business or related field is preferred.
  • Ability to stay current on software and hardware that can benefit company.
  • Self‑motivated and detail oriented.
  • Must have excellent organizational skills.
  • Must have excellent time management abilities.
  • Ability to read and process documents such as contracts and bid documents, statistical reports, operating and maintenance instructions, and procedure manuals.
  • Ability to produce routine reports and correspondence.
  • Ability to speak effectively with general management, customers, vendors, visitors or employees of organization.
  • Ability to communicate effectively in written and verbal correspondence.
  • Ability to prioritize tasks in accordance to urgency.
  • Must possess a willingness to accept and follow the direction of others.
