The Opportunity:
Join a dynamic organization in the construction industry delivering commercial, renovation, retail, office, federal, educational, healthcare, and historic projects. This opportunity is ideal for an organized construction professional who enjoys coordinating project teams, managing documentation, supporting procurement, and helping ensure projects are delivered efficiently. Based on site in Jacksonville, Florida, you will work closely with Project Managers, Superintendents, subcontractors, vendors, and clients throughout the project lifecycle.
Responsibilities:- Support Project Managers and Superintendents with day-to-day coordination and administrative activities across assigned construction projects.
- Solicit subcontractor and vendor bids, issue RFQs, compare proposals, process purchase orders, and maintain accurate procurement and buyout logs.
- Track long-lead materials, equipment deliveries, committed costs, schedules, and potential impacts to project execution.
- Maintain organized project documentation, contracts, scopes of work, schedules, drawings, specifications, and project logs in Procore and related systems.
- Draft, distribute, monitor, and close out RFIs and submittals while following up with subcontractors, vendors, and design professionals.
- Coordinate meetings, prepare agendas and supporting materials, document action items, and follow up to support timely completion.
- Manage subcontractor and vendor documentation, including contracts, insurance certificates, bonds, lien waivers, compliance records, and closeout materials.
- Assist with cost tracking, value engineering, punch lists, warranties, as-built documentation, and timely project closeout.
Skills:
- 3+ years of experience in construction coordination, project administration, or a closely related role.
- Working knowledge of commercial construction processes, procurement, subcontract administration, and project documentation.
- Proficiency with Procore for project records, RFIs, submittals, schedules, and communication.
- Familiarity with Monday CRM, Sage Intacct, and Microsoft Excel.
- Strong organizational skills and exceptional attention to detail and accuracy.
- Ability to coordinate effectively with Project Managers, Superintendents, subcontractors, vendors, clients, and accounting teams.
- Ability to track competing priorities, identify potential issues, and follow assignments through to resolution.
- Professional communication skills and a proactive, solutions-oriented approach.
Skills:
- Experience supporting ground-up commercial construction or renovation projects.
- Exposure to retail, office building, federal, educational, healthcare, or historic construction projects.
- Experience with buyout reporting, job cost coding, forecasting, or value engineering.
- Familiarity with construction schedules, short-interval planning, and long-lead procurement management.
- Knowledge of subcontractor compliance requirements, including insurance, bonds, lien waivers, and closeout documentation.
- Experience coordinating punch lists, warranties, operation and maintenance manuals, and as-built records.
- Ability to read and navigate construction drawings, specifications, and scopes of work.
