Veterinary Client Service Representative – Capital Veterinary Specialists, part of Thrive Pet Healthcare network in Jacksonville, Florida.
Job OverviewCapital Veterinary Specialists is looking for a Veterinary Client Service Representative to join our team as part of the Thrive Pet Healthcare community. In this role you will support front‑line client interactions, manage scheduling, and maintain accurate patient and client records.
Responsibilities- Professionally greet clients and patients, deliver exceptional customer service, and ensure all client questions and concerns are answered in a friendly, kind, and informative manner.
- Effectively communicate and collaborate with staff regarding patient care and client questions.
- Document all communications and conversations.
- Maintain communal areas such as lobby and exam rooms.
- Perform administrative intake duties, including verifying charges, scanning paperwork, and attaching medical records.
- Support service departments in administrative tasks such as faxes, patient weight entry, and contacting clients for paperwork and deposits.
- Process client payments accurately (cash, credit, check, scratch pay, Care Credit).
- Manage the appointment schedule, confirm upcoming appointments, and coordinate adjustments.
- Lead and train a team of client service representatives, fostering an enthusiastic, collaborative, and respectful team culture.
- Ensure each client interaction is handled with care, efficiency, and a positive attitude.
- High school diploma or equivalent.
- Fluent in English (reading, writing, and speaking).
- Working knowledge of Microsoft Office, Windows platform, and email.
- Experience in team scheduling.
- 2–4 years of veterinary customer service experience.
- Highly evolved written and verbal communication skills.
- Exceptionally organized with attention to detail.
- Ability to adapt and work well in a busy environment.
- Experience leading a client‑service team.
- Physical ability to be comfortable around all types of animals (primarily cats and dogs) and lift up to 30 lbs without assistance.
- Strong customer‑service orientation with warmth and empathy toward others.
