Billing Specialist

We’re looking for a Billing Specialist who thrives in a fast-paced, dynamic environment where ideas flow freely and collaboration fuels innovation. In this role, you’ll be responsible for the preparation of billing invoices for submission to customers for various types of contracts and levels of frequency (weekly, monthly, and progress invoicing) for services performed by CSI’s contract employees. Additionally, this position is responsible for ensuring the timely and accurate processing of weekly and monthly client invoices for services provided, focusing on increasing use of automation tools.

This position is located onsite in our Jacksonville, Florida office

• Manage the end-to-end billing process, including generating, reviewing, and distributing invoices in accordance with client agreements and billing cycles
• Ensure accuracy of invoices by validating pricing, quantities, contract terms, and applicable taxes
• Process high volumes of billing transactions on a weekly, monthly, and quarterly basis
• Monitor customer accounts, track payments, and follow up on outstanding balances to ensure timely collections
• Reconcile customer accounts by reviewing invoices, payments, and discrepancies, resolving issues as needed
• Communicate with clients to address billing inquiries, resolve disputes, and maintain strong customer relationships
• Review contracts, sales orders, and service agreements to ensure alignment with billing practices and revenue recognition
• Analyze billing data, including unbilled receivables and rebill trends, to identify risks and opportunities impacting revenue
• Maintain accurate customer records, billing data, and documentation for reporting and audit purposes
• Collaborate with internal teams and systems to improve billing processes, enhance automation, and increase efficiency

• Bachelor’s or associate degree is required
• 1-3 years of experience of billing experience is preferred
• Background with invoicing, cost monitoring, or project controls in the professional services field is preferred.
• Proficiency in Microsoft Excel using pivot tables, v-lookup, and other advanced functions
• Strong mathematical and analytical skills to accurately advise on billing data
• Ability to work with different levels of management throughout organization to analyze financial situations
• Ability to work efficiently and accurately in a fast-paced environment, meeting deadlines and managing multiple projects simultaneously.
• Exceptional attention to detail to ensure accuracy while handling a large volume of financial documentation.
