Job Summary

The Loan Documentation Quality and Training Specialist serves as the subject matter expert and product owner for loan documentation, with primary responsibility for developing, delivering, and reinforcing training for Loan Closers and related stakeholders. This role coordinates, prepares, and reviews complex, high-dollar commercial loan transactions to ensure accuracy and compliance with loan approval requirements, bank policy, procedures, regulations, and applicable laws.

This role also partners with Loan Operations/Hub, Lending, Credit, attorneys, third-party vendors, and other business partners to support consistent execution of loan documentation requirements and complex commercial loan closings.

Essential Functions, Duties and Responsibilities

  • Develops, delivers, and maintains ongoing loan documentation and closing-related training for Loan Closers and other stakeholders to promote adherence to best practices, policy, procedures, regulatory requirements, and technology/process changes.
  • Reviews completed and in-process loan closings to identify documentation discrepancies, policy exceptions, process gaps, and training opportunities; documents findings and uses results to support targeted coaching and continuous improvement.
  • Serves as the subject matter expert for loan documentation and complex closing requirements, providing guidance to commercial loan hub closers, and supervisors.
  • Reviews loan type, approval terms and conditions, bank policy, and regulatory requirements to determine closing requirements and support accurate due diligence and closing checklists.
  • Supports large, complex, and specialized commercial loan closings by reviewing legal closing documents, third-party reports, entity documents, title, surveys, flood determinations, UCC searches, and other required diligence items for accuracy and sufficiency.
  • Identifies discrepancies and complex closing issues, researches root causes, facilitates resolution, and recommends corrective actions.
  • Analyzes loan closing processes, and implements continuous improvements to strengthen operational effectiveness, quality, and consistency.
  • Represents the Commercial Loan Hub department in cross-functional initiatives, workflow changes, and other process improvement efforts related to loan closing and documentation.
  • Reviews regulatory and policy changes to assess impacts to the loan closing process and updates training, procedures, and communication materials as appropriate.
  • Researches special topics, prepares findings, and provides recommendations based on risk, operational impact, and business needs.
  • Maintains clear, professional communication with lenders, borrowers, attorneys, vendors, and internal partners regarding closing requirements, issue resolution, status updates, and process expectations.
  • Supports timely completion of closing requirements, workflow management, electronic file organization, checklist maintenance, disbursement processing, service level expectations, and quality control objectives as needed.

Required Knowledge, Skills and Competencies

  • Specialized, in-depth knowledge of commercial loan closing, loan documentation, regulatory requirements, bank policy, procedures, and best practices.
  • Thorough knowledge of standard and non-standard loan products, business entities, financial covenants, due diligence requirements, and document storage or loan documentation systems.
  • Demonstrated ability to develop and deliver effective training, coaching, communication, and process adoption support for operational teams and business partners.
  • Advanced research, analytical, problem-solving, and decision-making skills, including the ability to identify viable options, assess risk, draw sound conclusions, and present thoughtful recommendations.
