Front Office Check-In & Check-Out Representative

Coastal Health is seeking a motivated, career-oriented Front Office Check-In & Check-Out Representative to join our growing team. This key role serves as the first point of contact for our patients — providing exceptional customer service while ensuring smooth daily operations of the front office. The ideal candidate is organized, compassionate, detail-oriented, and thrives in a fast-paced healthcare environment.

Position Summary

The Front Office Representative supports patients and providers by managing appointment scheduling, patient check‑in/check‑out, payment collection, and medical records. This role plays an essential part in delivering an outstanding patient experience while maintaining efficient office operations.

Key Responsibilities
  • Greet patients and visitors in person and by phone, answering or directing inquiries professionally and courteously
  • Schedule appointments to optimize patient satisfaction, provider time, and treatment room utilization
  • Check patients in and out, ensuring appointments stay on schedule
  • Notify providers of patient arrivals and communicate any service delays
  • Maintain and update patient records, including personal and financial information
  • Collect payments, post charges, and manage patient account balances
  • Maintain confidentiality of patient health and financial information
  • Assist patients with questions or concerns, helping to ease anxieties
  • Respond appropriately to urgent situations or patient distress
  • Manage front office inventory and supplies
  • Follow established policies and procedures to maintain smooth daily operations
  • Contribute positively to team goals and overall office success
Qualifications
  • High School Diploma or equivalent required
  • Minimum of 1‑3 years of experience in a medical office or healthcare setting preferred
  • Strong multitasking, flexibility, organization, and scheduling skills
  • Excellent telephone, customer service, and communication skills
  • Attention to detail and accuracy
  • Proficiency in word processing and basic computer applications
  • Ability to manage time effectively in a fast‑paced environment
  • Professional demeanor, team‑oriented attitude, commitment to quality and patient‑centered care
  • Reliable transportation
