At Smiling Kidds, our mission is simple expand access to high-quality pediatric and orthodontic care while delivering expert-level customer service to every family we serve. Our Dupont location is home to pediatric dentistry, Smiling Kidds Orthodontics, and a centralized communication center that supports two additional practices. This is a dynamic, fast-paced environment where leadership matters. We are seeking a confident, operationally strong Office Manager to lead this flagship location and help us continue to grow access, improve systems, and elevate the patient experience.
Position OverviewThe Office Manager is responsible for the overall leadership, performance, and operational execution of the Dupont location. This includes oversight of front office operations, staffing, scheduling efficiency, patient experience, and cross-functional coordination between pediatric, orthodontic, and centralized scheduling teams. This role reports directly to the Director of Practice Development and works closely with clinical leadership.
Key Responsibilities Operational Leadership- Oversee daily operations across pediatric and orthodontic services
- Ensure efficient provider scheduling and patient flow
- Monitor key performance indicators and drive continuous improvement
- Maintain compliance with company policies and healthcare regulations
- Lead, coach, and develop front office and administrative team members
- Foster a culture of accountability, professionalism, and service
- Conduct team meetings and manage performance expectations
- Partner with HR on hiring, onboarding, and training
- Uphold expert-level customer service standards
- Ensure smooth coordination between departments and support teams
- Resolve escalated concerns with professionalism and urgency
- Continuously improve systems that expand access and reduce barriers for families
- Oversee insurance verification, authorizations, and billing accuracy
- Support strong A/R performance and collections processes
- Monitor operational expenses and supply management
- 3+ years of management experience in dental, medical, or high-volume healthcare practice
- Bilingual in Spanish strongly preferred
- Strong understanding of insurance, billing, and revenue cycle management
- Experience leading teams of 10+ employees preferred
- Strong organizational, analytical, and leadership skills
- Ability to manage complexity in a multi-service environment
Pediatric or orthodontic experience preferred but not required.
