McIver Clinic has been a trusted leader in urological care in Jacksonville since 1921. With multiple locations throughout the greater Jacksonville area and more than 27 providers, we provide patient-centered care across a broad range of urological services.

Job Overview

We are seeking a dependable, organized, and patient-focused New Patient Coordinator to join our team. This position is responsible for coordinating new patient referrals, scheduling appointments, communicating with patients, and ensuring referral and registration information is accurately documented.

The ideal candidate will have strong organizational and communication skills, attention to detail, and the ability to manage a high volume of referrals and scheduling requests in a busy medical office environment.

Essential Job Functions
  • Answer a high volume of incoming calls and assist patients with appointment scheduling.
  • Process new patient referrals by accurately entering patient demographics, referral information, diagnoses provided on referral documentation, insurance information, authorizations, and other required information.
  • Schedule, reschedule, and coordinate patient appointments according to provider availability, scheduling guidelines, and patient needs.
  • Greet patients and assist with scheduling and registration needs.
  • Collect and verify patient demographic and insurance information.
  • Contact patients when appointments need to be rescheduled or additional information is required.
  • Answer routine patient questions and provide accurate information regarding appointments and office procedures.
  • Direct calls to the appropriate departments and relay messages to staff as needed.
  • Maintain accurate and timely patient records.
  • Protect patient privacy and maintain confidentiality in accordance with HIPAA and organizational privacy standards.
  • Provide professional and courteous service to patients, providers, and staff.
  • Perform other related duties as assigned.

Requirements

Education

  • High school diploma or equivalent required.

Experience

  • At least one year of medical office experience required.
  • At least one year of customer service experience required.
  • Experience with electronic health records (EHR) and scheduling systems preferred.
  • Proficiency with computers and electronic systems.
  • Previous experience processing referrals or working with insurance authorizations preferred.
