This position supports the day-to-day operations of the Grassy Creek residential portfolio in Jacksonville, FL. The Property Assistant is responsible for pool management, fleet assistance, administrative coordination, vendor access, and general maintenance management support across multiple residences. This position will support property management operations to provide exceptionally high standards of maintenance and grounds management throughout the local portfolio.
Responsibilities/Duties/Functions/Tasks- Oversee daily pool operations, including chemistry testing, chemical dosing, equipment checks (pumps, filters, skimmers, heaters), repairs, and weekly brushing, vacuuming, and tile line cleaning.
- In tandem with GC staff and outside contractors, ensure the landscaping is maintained to estate expectations.
- Support the Property Maintenance Manager with issue tracking/completion, scheduling coordination, and administrative tasks.
- Support all aspects of the vehicle and fleet management team.
- Complete and revise property checklists and contribute to the weekly property status reports.
- Conduct site visits and pre-arrival preparations for multiple properties as defined in standards and protocols.
- Oversee storage organization and maintain inventory of supplies and equipment.
- Provide groundskeeping support to maintain the grounds to an excellent standard.
- Assist with preventative maintenance, property inspections, digital checklists, issue reporting, and operational troubleshooting and repairs.
- Understand and utilize company software for daily and weekly updates and communication with the Property Maintenance Manager and Director of Property Management.
- Build and Maintain the Property maintenance calendar in coordination with Grassy Creek management team.
- Attend scheduled meetings with the Property Maintenance Manager and Director of Property Management.
- Assist with special projects, operational needs, and additional hands‑on responsibilities as requested.
- Respond to property issues in coordination with the Property Manager to ensure 24/7 emergency response and availability.
- Perform other duties as requested.
- Must be able to lift 50 lbs. and perform physical tasks in Florida weather conditions.
- Pool maintenance experience strongly preferred; willingness to obtain pool operator certification required if not already certified.
- Advanced computer literacy and excellent verbal and written communication.
- Ability to work some evenings, weekends, and holidays as required by property and family schedules.
- Prior horticultural or landscaping management experience preferred.
- Personable, discrete, and comfortable working in a private family estate environment.
- Highly organized and detail-oriented; takes ownership of checklists and recurring tasks without prompting.
- High ethical standards and discretion when working in a private residential setting.
- Proactive communicator — flags issues and follows up without waiting to be asked.
- Willing to take on any task necessary to support the team and properties.
- Able to work independently and take initiative within a defined scope of responsibilities.
