Job Summary:

The Assistant Registrar, Commencement is responsible for the degree clearance and certification of all undergraduate candidates for graduation, and coordination and oversight of all commencement related processes.

Job Duties and Responsibilities
  • Coordinates the degree clearance and certification processes including the final review and audit of all candidates for undergraduate graduation for each school, ensuring all graduates have officially met all school, department, program, and university requirements to have degree conferred.
  • Manages graduations audit and clearance staff.
  • Oversees Graduation Fair and related activities.
  • Coordinates commencement activities, finalizes all graduation applications, creates and disseminates relevant communication and program information to potential cleared graduates.
  • Maintains Commencement budget and establishes contracts with required vendors.
  • Establishes and reviews contracts with required vendors.
  • Participates in professional development opportunities to expand or enhance commencement.
  • Reviews and processes requests for diploma reprints as applicable.
  • Oversees the creation, revision, and implementation of the each academic year’s working catalog; provides final version to webmaster for website updates.
  • Maintains Registrar’s Office webpage.
  • Provides customer service to students, faculty and staff as needed.
  • Produces required documents and correspondence for Subpoenas.
  • Communicates with departments regarding critical dates and information.
  • Registers/Reinstates students when appropriate.
  • Hosts meetings and presents information to departments and assists with planning of Office Retreat.
  • Serves as back up for deposits, transcripts, or processing changes to academic records.
  • Interprets Academic policy and stays abreast to any changes.
  • Participates in relevant professional development opportunities.
  • Complies with Federal regulations including FERPA.
  • Performs other duties as assigned.
Required

Minimum Qualifications:
  • Bachelor’s degree in closely related field,
  • a minimum of three (3) years’ experience in higher education, and
  • prior supervisory experience
Preferred Qualifications:
  • Master’s Degree in related field, and
  • experience with registration and higher education record keeping systems, or
  • a minimum of five (5) years’ experience in higher education in higher education administration working with students
  • Technical knowledge of degree audit system, including the awarding of transfer credit system
