OverviewThe Quality Assurance (QA) Lead will play a critical role in ensuring the accuracy, integrity, and completeness of digitized documents produced through a large-scale scanning and digitization effort. This is an operational quality assurance role focused on physical document scanning and digital imaging workflows - not software development, software testing, or IT quality engineering.
This 100% on-site role supports all business quality assurance activities after documents are scanned, validating scan output, identifying issues, correcting image defects, and collaborating closely with the Intake Lead and scanning vendor to strengthen processes and maintain compliance with digitization standards.
The ideal candidate brings hands-on experience with document digitization, exceptional attention to detail, strong analytical skills, and a demonstrated background in continuous process improvement.
This position is located in Jacksonville, FL
Responsibilities Quality Assurance & Review- Perform post-scan quality reviews of digital images to ensure accuracy, clarity, completeness, and adherence to digitization standards.
- Validate document counts and confirm all images/pages have been captured accurately.
- Identify and correct image defects (e.g., cropping issues, skew, resolution issues).
- Conduct sampling reviews as required (e.g., 10% sampling or structured review thresholds).
- Serve as the QA point of contact with the Intake Lead to rapidly resolve quality issues and drive continuous improvement.
- Communicate defects, trends, and process gaps to relevant stakeholders.
- Work closely with scanning vendors and operational teams to ensure high-quality output.
- Analyze recurring issues and work with operations and scanning teams to improve upstream scanning procedures and overall workflow efficiency.
- Maintain and update documentation for quality procedures, workflows, and QC/QAR methods.
- Ensure that data and reports provided to the client are accurate and timely.
- Track quality metrics, defect types, and trends.
- Provide data analysis and insights to support internal reporting and decision-making.
- Prepare correspondence, reports, and presentations.
- Track out-of-scope documents shipment and ensure all processes are followed correctly.
- Serve as a point of contact for internal and external communications.
- SOP/process documentation work and training on these processes.
Required Qualifications
- Bachelor's degree and 8+ years of experience supporting QA efforts (or commensurate experience).
- Demonstrated experience with document digitization, scanning workflows, or digital imaging QA.
- Strong attention to detail and accuracy.
- Strong proficiency in Microsoft Excel (pivot tables, data validation, conditional formatting, trend analysis).
- Experience with process improvement methodologies or tools.
- Ability to obtain a Public Trust clearance.
- Excellent communication and collaboration skills.
- 100% on-site availability.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and Microsoft Access or similar database applications.
- Excellent organizational skills with the ability to manage competing priorities without sacrificing accuracy.
- Self-directed with the ability to perform consistently with minimal supervision.
- High school diploma or equivalent required; BS or equivalent experience preferred.

- Experience with government digitization projects or QA frameworks.
- Background in quality control for document imaging, including sampling reviews, image validation, and QC reporting processes.
- Familiarity with scanning vendor management or technical troubleshooting of digital images.
