Executive Assistant

Horizons East is a homebuilding company based in Jacksonville, North Carolina, serving Onslow, Carteret, Jones, and Pender Counties. The Executive Assistant is a key partner to the Owner, providing high-level administrative, operational, and strategic support across multiple entities under the Horizons East umbrella. You'll juggle complex calendars, contracts, and communications; coordinate with internal leaders and external partners; and represent the Owner with professionalism, discretion, and sound judgment. No two days will look the same, and that's part of the appeal.

Responsibilities
  • Own a dynamic calendar; schedule and prioritize internal/external meetings and events; anticipate conflicts and resolve proactively.
  • Serve as gatekeeper/liaison to optimize the Owner's time, focus, and follow-through.
  • Prepare meeting materials; capture notes; issue clear action items and owners.
  • Draft, review, and redline documents, contracts, and correspondence with accuracy and business/legal awareness.
  • Research and synthesize information for decisions, presentations, and special projects.
  • Coordinate off‑sites; interface professionally with community/government stakeholders; represent the Owner when appropriate.
  • Track permits, contracts, and documentation for homebuilding and development.
  • Partner with internal staff and VAs to manage inbox triage and timely responses.
  • Anticipate needs; streamline communication; improve workflows and productivity.
  • Support execution of strategic projects; track milestones, owners, and deadlines.
  • Communicate effectively with staff, trade partners, community reps, and local officials; build trust and uphold company values.
  • Coordinate travel; handle occasional personal tasks/errands.
  • Maintain absolute discretion and confidentiality.
Qualifications
  • 3 to 5 or more years supporting a business owner/executive/leadership team; experience in construction, real estate, development, or legal settings strongly preferred.
  • Exceptional written and verbal communication; polished drafting and professionalism.
  • Highly organized, detail-oriented, and able to manage multiple priorities.
  • Proven independence, judgment, and ownership from start to finish.
  • Strong critical thinking, reads the room, anticipates needs, solves problems.
  • Technically proficient:
    Microsoft Office, Adobe Acrobat, and online collaboration tools; quick to learn new systems.
  • Valid driver's license and clean driving record (periodic site/meeting travel).
  • On-site role; local to Jacksonville, NC (or relocating soon).
  • Thick‑skinned, composed under pressure; can pivot rapidly in a high‑expectations environment.
  • Discreet, trustworthy, loyal, and respects confidentiality.
  • Process‑minded and forward‑thinking, spots inefficiencies and implements improvements.
  • Polished yet grounded, comfortable representing the Owner publicly and handling behind‑the‑scenes logistics.
Compensation & Benefits
  • Full‑time, W‑2 Employee.
  • Competitive hourly rate at $20.00 to $27.00 (based on experience)
