Position Summary

Mecklenburg County Park and Recreation is excited to welcome a creative and dynamic individual to join our Special Events Office. The Sr Special Events Specialist will be responsible for assisting with planning, organizing, and overseeing events in our parks and recreation facilities. This also includes application processing and accounting procedures. In addition to planning special events and activities to engage Mecklenburg County residents and visitors, they will also be responsible for coordinating events that occur on our park properties.

The incumbent will participate in pre-event planning and coordination of interdepartmental resources for internal and external events and functions including entertainment, security, sanitation, food and beverage service, staffing needs, and other logistics. This position will also work closely with external customers who wish to use Park and Recreation venues for public and private events, conducting pre-event planning meetings, site visits, and post-event debriefs.

Additionally, the selected candidate will also be responsible for coordinating with all vendors, ensuring that they are informed of venue rules and that all permits, licenses, and certificates of insurance are on file prior to events. This full-time position will work a varying schedule, which may include daytime hours, evenings, and weekends based on special event business needs.

Mecklenburg County Park & Recreation’s Special Events Office organizes and hosts many community events, concerts, and festivals each year for our residents and visitors. Meck Sounds Concert Series, Meck Fest, Meck Movies, and our annual Corgi Race are just a few events that are enjoyed throughout the year. We also rent out our facilities to community members for weddings, family reunions, and other special gatherings.

Preferred Qualifications
  • Community-based special events management experience highly preferred
  • Experience coordinating movie and/or music licensing
  • Extensive experience managing all aspects of large-scale special events
Essential Functions
  • Assist in supervision of special event activities in a recreation center or park facility
  • Develop, evaluate and lead special event programs and activities in a recreation center or park facility
  • Provide customer service and handling of funds in a recreation center or park facility through telephone, emails, web site, social media and walk in patrons and customers for information and program registration
  • Supervise part-time and temporary employees, including scheduling, coaching and annual reviews
  • Assist with monitoring the Special Event Office budget, contracts and compliance
  • Develop and coordinate a wide range of events and special programs for a diverse audience
  • Assist with development of, maintenance repair of equipment and inventory needs
  • Partner with community leaders to ensure quality special event programs within the community
  • Secure staffing and/or volunteers for programs
  • Advertise community events via radio stations, flyers, Public Service Announcements, banner, and internet
  • Assist with department events
  • Approve program proposals
  • Pre-event planning and coordination of interdepartmental resources for events and functions including entertainment, security, sanitation, food and beverage service, staffing needs, facility setup & breakdown, parking, emergency services, signage and other logistics.
  • Facilitating pre-planning meetings, site visits and post-event debriefs. Ensure all contractors and vendors are properly informed of venue rules and that all permits, licenses, and certificates of insurance are on file prior to the event
  • Ensure safety of participants/spectators and administer first aid when necessary
  • Collect fees and taking registrations for special event programs and facility rentals
  • Handle inquiries and complaints from public
  • May serve as the Manager on Duty
Minimum Qualifications

Experience:

Minimum of two years of related experience.

Education

Bachelor’s Degree in Park and Recreation Administration, Health and Physical Education, or a related field.
