Position Summary

LJK Investigations is seeking an experienced and organized Office Manager to oversee the daily operations of our administrative support office in Jacksonville, Texas. The Office Manager will supervise a team of 15+ secretaries and administrative staff who provide critical support to the company's private investigators and operations.

The Office Manager will be responsible for ensuring the office operates efficiently, professionally, and in accordance with LJK Investigations policies, procedures, and quality standards.

Essential Duties and Responsibilities

Manage and supervise a team of 15+ secretaries and administrative support staff.

Oversee daily office operations, workflow, scheduling, and staffing.

Assign and prioritize work to ensure administrative tasks are completed accurately and on time.

Monitor employee attendance, performance, productivity, and adherence to company policies.

Train, coach, and develop administrative staff.

Conduct employee evaluations and address performance issues when necessary.

Ensure work product meets LJK Investigations' standards for accuracy, completeness, and professionalism.

Oversee administrative support provided to field investigators and other company personnel.

Assist with case file management, data entry, report preparation, documentation, and quality control.

Ensure confidential investigative information and company records are properly handled and maintained.

Monitor deadlines and ensure case-related administrative tasks are completed in a timely manner.

Coordinate communication between the support office, investigators, supervisors, and company management.

Assist with hiring, onboarding, and training of new administrative employees.

Maintain office supplies, equipment, inventory, and general office organization.

Assist with basic bookkeeping, expense tracking, and other administrative financial duties as assigned.

Identify operational problems and implement solutions to improve efficiency and productivity.

Maintain a professional, organized, and productive office environment.

Enforce company policies and procedures consistently and fairly.

Report significant personnel, operational, or performance issues to upper management.

Maintain confidentiality regarding employees, clients, cases, investigations, and company business.

Perform other duties and responsibilities as assigned by LJK Investigations management.

Required

Skills and Qualifications

Previous office management or supervisory experience required.

Experience managing a large administrative or clerical team preferred.

Excellent verbal and written communication skills.

Strong organizational and time-management skills.

Excellent attention to detail and accuracy.

Ability to effectively manage multiple priorities in a fast-paced environment.

Strong leadership and problem-solving abilities.

Proficient computer and typing skills.

Ability to train, motivate, and hold employees accountable.

Ability to maintain confidentiality and exercise sound judgment.

Professional demeanor and ability to communicate effectively with employees at all levels of the company.

Private investigation, legal, insurance, or similar administrative experience is preferred but not required.

Work Environment

This is a full-time, office-based management position located in Jacksonville, Texas. The Office Manager will work closely with the General Manager and other LJK Investigations management while overseeing the daily activities of a support staff consisting of 15+ secretaries.

Job Type: Full-time

Pay: $14.00 - $18.00 per hour
