Position: PROPOSAL ADMINISTRATOR
Location: Jakarta Barat

Job opportunity for PROPOSAL ADMINISTRATOR anced Offshore Services in Kota Jakarta Barat, DKI Jakarta, Indonesia.

Position Overview

Full‑time on‑site role located in Jakarta, Indonesia for a Tender & Proposal Executive responsible for preparing, coordinating, and submitting proposals and tender documents to meet client requirements. The executive will analyze tender documents, draft comprehensive responses, conduct research on project specifications, manage timelines, and ensure compliance with tender requirements and company standards.

Responsibilities
  • Examine incoming tenders, note tender details, gather tender information and references from various sources.
  • Coordinate, plan and gather bid submission documents including Tender Questionnaires, pre‑qualifications and contract review.
  • Research and analyze data to gather information for proposals.
  • Manage clients’ bid requirements within various departments such as planning, QA/QC, HSE, Engineering, Crewing/Personnel, and collate and compile all queries and requests for additional information for communication to clients.
  • Support the Commercial Department in developing good relationships with active and prospective associates/customers.
  • Provide excellent verbal and written communication for professional interactions with clients and stakeholders.
  • Work independently and collaboratively in a deadline‑driven environment.
  • Monitor and ensure tender submission due dates are strictly adhered to, including checking, binding, packing and preparation of outgoing submissions.
  • Ensure that tender submissions are standardized with client tender requirements.
  • Prepare contract, project estimates, and tender, monitoring estimates including Bills of Quantities.
  • Update contract/subcontract agreement, contract validity, PO/WO of ongoing projects.
  • Keep monitoring company licenses, certifications, etc.
Qualifications & Requirements
  • Minimum 2 years of experience in Oil & Gas industry.
  • Minimum S1 from a reputable university (preferred engineering graduate).
  • Familiarity with BPMIGAS tender procurement process, PTK 007, CVID apps, etc.
  • Excellent command of English language.
  • Excellent MS Office and computer/internet skills.
  • Good interpersonal communication skills.
  • Driven, honest, committed, responsible, able to multitask, hardworking, willing to work independently and overtime.
  • Preferred: ability to commence employment on short notice.
Salary

Salary is negotiable depending on experience.
