Administrative Support

  • Ensure KOL data and information are accurate, up-to-date, and accessible.
  • Manage internal documentation for client projects, including contracts, proposals, and agreements.
  • Oversee day-to-day operational needs, ensuring smooth internal workflow.
  • Support the preparation of detailed reports and status updates for ongoing campaigns.
  • Liaise between KOLs and the internal team to facilitate campaign execution.
Project Coordination
  • Ensure that all campaign timelines, budgets, and deliverables are tracked.
  • Communicate with internal teams to ensure all milestones and KPIs are met.
  • Assist in managing the internal approval process for project materials and content.
Client Communication Support
  • Support client‑facing communications by managing meeting schedules, follow‑ups, and internal briefings.
  • Ensure that feedback from clients is captured and communicated accurately to the team.
System and Process Improvement
  • Identify and propose process improvements to enhance operational efficiency.
  • Help maintain and improve the CRM, project management, and communication tools.
Reporting and Documentation
  • Maintain accurate operational and financial documentation, including SOWs, timelines, and resource allocation.
  • Assist in the preparation of project reports, financial summaries, and post‑campaign evaluations.
Qualifications
  • Minimum 2-3 years of experience in an operations or project management role (preferably within an agency or marketing setting).
  • Experience with influencer marketing or working with KOLs is a plus, but not required.
  • Strong organizational and multitasking skills.
  • Excellent verbal and written communication skills.
  • Proficient in Microsoft Office Suite (Excel, Word, PowerPoint) and project management tools (Asana, Trello, etc.).
  • Attention to detail and ability to prioritize tasks effectively.
