Legal Support Specialist

Responsibilities- Prepare and revise documents including drafts, redlines, and proofread end products, with support from Docu Sign and oral instruction as needed.
- Create and maintain electronic and physical files in iManage and Outlook.
- Prepare new business forms such as conflict sheets, engagement letters, and waiver letters, coordinating with the business intake and conflicts department.
- Manage timekeepers' calendars, scheduling and coordinating virtual and in-person meetings while proactively resolving conflicts.
- Process invoices, expense reports, check requests, and travel and other reimbursements using general ledger codes in accordance with firm guidelines.
- Enter time daily in Int App and maintain accurate records.
- Review, distribute, and process prebills and perform the audit letter process.
- Maintain timekeepers' CLE credits and bar admissions and renewals.
- Coordinate travel arrangements in accordance with firm policy.
- Support business development efforts through consistent use of the firm's CRM tool.
- Liaise with the service center for messenger services, mailings, and copy projects.
- Mentor and delegate to practice team assistants as appropriate.
- 4+ years of administrative support experience in a law firm or legal department, preferably in a corporate or business practice.
- Proficiency in Microsoft Office Suite, iManage, and other firm applications.
- Ability to navigate and interpret legal procedures and terminology.
- Bachelor's degree or business college certificate preferred.
- Available to work overtime as required.
- Ability to independently manage a high-volume workload across multiple timekeepers while working as part of a team.
- Strong proofreading, writing, and communication skills with exceptional attention to detail.
- Proactive in prioritizing assignments and meeting deadlines consistently.
- Professional, reliable, and polished in all interactions with clients, colleagues, and attorneys.
- Demonstrates initiative, diplomacy, and tact.
This position follows a hybrid schedule of four days in office and one day remote per week.
