Duration: 11-Week Contract (Initial 3 Months with potential extension/renewal)
Work Arrangement: 100% Onsite
Schedule: Monday – Friday | 9:00 AM – 5:00 PM | 7.5 Hours/Day | 30-Minute Unpaid Lunch Break
Sigma, Inc. is seeking an experienced Administrative Assistant to support the Accounts Payable team for Fiscal Year-End activities at Lemuel Shattuck Hospital, operating under the Massachusetts Department of Public Health and the Commonwealth of Massachusetts.
This position requires full-time onsite attendance at the hospital's business office and will support critical accounting and administrative functions related to vendor payments and accounts payable processing.
Key Responsibilities- File, retrieve, organize, and maintain vendor payment files and supporting documentation.
- Prepare, scan, and digitally archive vendor payment records.
- Provide general information and support to departments, staff members, and vendors.
- Pick up, sort, and distribute daily business office mail and correspondence.
- Reconcile accounts payable documents, invoices, transactions, and statements.
- Maintain accurate accounts payable records and documentation.
- Assist with fiscal year-end accounting activities and reporting requirements.
- Collaborate effectively within a team-oriented environment.
- Perform additional administrative and business office duties as assigned by management.
- Previous Administrative Assistant, Accounts Payable, Accounting Clerk, or related office support experience.
- Working knowledge of Accounts Payable processes and terminology.
- Understanding of accounting principles and practices.
- Experience reconciling invoices, statements, and financial documents.
- Proficiency with Microsoft Excel and other Microsoft Office applications.
- Strong organizational skills with exceptional attention to detail.
- Ability to manage confidential financial information appropriately.
- Excellent communication and interpersonal skills.
- Ability to work independently and as part of a team in a fast-paced environment.
- Prior experience supporting Finance, Fiscal Services, or Accounts Payable departments.
- Previous experience working within healthcare, government, or public sector organizations.
- Experience with document scanning and digital record management systems.
