Position: Human Resources Assistant

Division: Human Resources

Reports to: HR Director

Contract: Full-time/Part time, fixed-term position for a period of three months, with the possibility of extension into another fixed-term contract, starting ASAP

Position Overview

The Human Resource Assistant provides essential support for day-to-day HR operations, assisting with departmental development, HRIS maintenance, and employee relations. Serves as a front-line operational initiatives targeted for increasing the quality of services delivered by HR Office and assigned by the HR Director.

Key Responsibilities HR Administration & Support
  • Provides administrative support to the Human Resources Department;
  • Maintains employee files and HR documentation in compliance with internal procedures;
  • Supports preparation of contracts, amendments, certificates, and other HR documents;
  • Assists with onboarding and induction processes for new employees;
  • Supports administration of employee benefits programs;
  • Maintains and updates employee data in HR systems;
  • Prepares HR-related reports, spreadsheets, and documentation as requested;
  • Assists employees with routine HR-related questions and requests;
  • Supports scheduling of meetings, interviews, trainings, and HR events;
  • Organizes and maintains HR records and filing systems. Assists in maintaining HR procedures and internal documentation;
  • Supports HR projects and initiatives assigned by the HR Director;
  • Helps coordinate training sessions and employee development activities;
  • Assists in collecting employee data, surveys, and feedback;
  • Supports Occupational Health & Safety and Occupational Medicine administration when required;
  • Cooperates with payroll and benefits administration processes.
  • Supports recruitment activities, including posting vacancies and scheduling interviews;
  • Collects and screens applications according to established procedures;
  • Communicates with candidates during the recruitment process;
  • Assists with reference checks and recruitment documentation;
  • Prepares onboarding materials and coordinates onboarding logistics for new hires;
  • Supports induction activities for newly hired employees.

  • Maintains positive working relationships with employees, managers, and the ASW community;
  • Ensures confidentiality and accuracy in handling employee information;
  • Contributes to a positive and collaborative working environment.
What We're Looking For
  • University degree or current studies in Human Resources, Administration, Business, or related field;
  • Previous administrative or HR experience preferred;
  • Basic knowledge of Polish Labour Law will be an asset;
  • Good organizational and administrative skills;
  • Fluency in English and Polish;
  • Good computer and IT skills (MS Office, online tools);
  • Strong communication and interpersonal skills;
  • Ability to maintain confidentiality and handle sensitive information professionally;
  • Attention to detail and ability to manage multiple tasks effectively;
  • Customer-service-oriented attitude and willingness to learn
