The DOL Authorization Specialist coordinates and manages the authorization process for patients receiving services under the Department of Labor (DOL) program. This position applies clinical nursing judgment to review physician orders and supporting documentation, obtain and maintain service authorizations, and ensure compliance with Department of Labor regulations, payer requirements, and company policies. The DOL Authorization Specialist collaborates with physicians, clinicians, the Office of Workers' Compensation Programs (OWCP), Third Party Administrators (TPAs), Department of Labor (DOL) Case Managers, and internal staff to support timely authorizations and uninterrupted patient care.
WorkSchedule
Primarily Monday-Friday, 8:00 a.m. to 4:30 p.m. Schedule flexibility may be required to support authorization deadlines, patient needs, travel, training, and other business needs.
Essential Functions Authorization Management- Review referrals to determine authorization requirements.
- Obtain initial authorizations and request extensions or recertifications.
- Monitor authorization utilization, service limits, and expiration dates.
- Take timely action to prevent interruptions in patient care due to authorization delays.
- Verify insurance benefits and coverage requirements when applicable.
- Review authorization decisions and coordinate follow-up on requests for additional information.
- Assist with the resolution and appeal of denied or partially approved authorization requests.
- Review physician orders, Plans of Care, clinical records, and supporting documentation for completeness and medical necessity.
- Apply nursing judgment to identify documentation needed to support authorization requests.
- Coordinate with physicians, nurses, Case Managers, and other clinicians to obtain required documentation.
- Identify incomplete, inconsistent, or missing clinical information and communicate required corrections or follow-up.
- Communicate with Third Party Administrators (TPAs),Office of Workers' Compensation Programs (OWCP), DOL Case Managers, insurance carriers, referral sources, Office Directors, and Case Managers.
- Notify appropriate staff of authorization approvals, denials, service limitations, expiration dates, and documentation requirements.
- Provide timely updates regarding authorization status and barriers that may affect admissions or ongoing services.
- Educate office and clinical staff regarding DOL authorization requirements and documentation standards.
- Serve as a resource to internal staff regarding authorization processes and payer requirements.
- Maintain accurate authorization records, tracking logs, reports, and follow-up documentation.
- Upload and maintain authorization documentation in Alaya Care, the DOL Portal, and other required systems.
- Ensure services do not begin or continue without required authorization unless approved through an established exception process.
- Participate in audits, quality improvement activities, and process reviews.
- Identify denial patterns, recurring documentation concerns, and opportunities to improve authorization workflows.
- Ensure compliance with Department of Labor regulations, payer guidelines, HIPAA, and company policies.
- Maintain the confidentiality and security of patient and business information.
- Maintain knowledge of changing Department of Labor regulations, payer policies, and authorization requirements and apply updates to daily work practices.
- Maintain all required documentation in accordance with company record retention policies.
Manages authorization requests from initial review through final determination. Tracks deadlines, service limits, and expiration dates and follows through consistently to reduce avoidable delays in patient care.
Clinical JudgmentApplies nursing knowledge and sound clinical judgment when reviewing orders, Plans of Care, clinical records, and documentation supporting medical necessity.
Critical Thinking & Problem SolvingIdentifies barriers, missing information, and denial risks; evaluates available information; and takes appropriate action to resolve authorization and documentation issues.
Communicates clearly, professionally, and promptly with clinicians, physicians, payer representatives, referral sources, Office Directors, Case Managers, and other internal and external partners.
Planning & OrganizationEffectively prioritizes multiple authorization requests, deadlines, follow-up activities, and documentation requirements while maintaining accuracy and attention to detail.
Accuracy & Attention to DetailReviews information carefully, maintains complete records, and ensures authorization data and supporting documentation are accurate and entered into required systems.
