Our team is supporting a growing client that is looking to add a Billing Specialist to support the accounting team by managing project billing from start to finish while partnering closely with Project Managers and other internal teams. This individual will be responsible for various construction billing activities, including contract billing, AIA billing, and time-and-material billing, while ensuring projects are billed accurately and timely.

The ideal candidate enjoys working independently, has prior construction billing experience, and thrives in a fast-paced environment where priorities shift based on project activity.

The salary range for this position is $65-75k/year.

The Billing Specialist will be responsible for, but not limited to, the following:

• Prepare and process contract billing, AIA billing, and time-and-material billing for a variety of construction projects.
• Partner closely with Project Managers and internal teams to ensure projects are billed accurately and in a timely manner.
• Monitor multiple projects simultaneously, prioritizing billing activities based on project timelines and deadlines.
• Enter new job numbers into the accounting system and maintain accurate project information.
• Generate and review job cost reports while researching and resolving billing discrepancies or costs posted to incorrect jobs.
• Develop and maintain effective tracking methods to monitor project progress, billing status, and outstanding items.
• Communicate proactively with Project Managers regarding billing schedules, project updates, and documentation needed for invoicing.
• Support project-specific billing requirements and related documentation as needed.
• Assist with invoice distribution and provide follow-up regarding outstanding invoices as needed.
• Prepare, review, and process lien waivers and other project documentation to support timely customer billing and payment.
• Provide exceptional customer service to internal and external customers regarding billing inquiries.
• Identify opportunities to improve billing processes and efficiencies while maintaining a high level of accuracy.

The Billing Specialist will possess the following:

Experience Required

• 5+ years of construction billing experience.
• Experience with contract billing, AIA billing, and/or time-and-material billing strongly preferred.
• Knowledge of job costing and construction-related billing processes.
• Ability to independently manage multiple projects and shifting priorities.
• Strong analytical and problem-solving skills with the ability to investigate billing discrepancies.
• Excellent organizational skills and attention to detail.
• Proficiency with Microsoft Excel.
• Self-motivated with the ability to work independently while contributing as part of a collaborative team.
