Materials Processing Assistant

Under general direction of the Head of Collection Services, the Materials Processing Assistant is responsible for processing, mending, and maintaining print and audiovisual library materials in support of the library's collection access and preservation needs.

Reports to:

Head of Collection Services Has work contact with library trustees, elected officials, community groups, employees and the general public.

  • Processes print, audiovisual, learning aids, and special collection materials for circulation, including adult and juvenile materials.
  • Prepares materials for public use by creating and applying labels, covers, packaging, RFID tags, and other processing elements.
  • Maintains item records in the online catalog, including adding new materials and deleting withdrawn items.
  • Mends print and audiovisual materials through basic repair, repackaging, cover replacement, and replacement labeling.
  • Supports collection maintenance by searching for missing items, pulling materials for weeding, and assisting with inventory projects.
  • Maintains processing supplies and operates equipment used for material preparation and repair.
  • Processes incoming and outgoing mail and assists with special projects as assigned.
  • Follows all safety regulations, policies, and procedures; reports all unsafe conditions and acts to supervisor; reports all accidents to the supervisor immediately whenever possible; follows recognized safe work practices.
  • Performs other special projects and other job duties as assigned or required during regular and non-business hours.
  • All employees may be assigned by the City Manager or their designee to perform duties and assume responsibilities that are outside the scope of their work duties when the City Manager has declared a City disaster or the City Emergency Operations Center has been initiated.
  • The requirements listed below are necessary to perform the essential duties of the position.

  • A High School diploma or equivalent is required.
  • A minimum of six months work experience in libraries is required.
  • For successful performance in this position, the incumbent must demonstrate the following knowledge, skills, abilities, and behaviors.

    Knowledge:

  • Working knowledge of basic library material processing practices, including labeling, covering, packaging, RFID tagging, and preparing materials for public circulation.
  • Working knowledge of basic repair and mending techniques for print and audiovisual materials.
  • General knowledge of library catalog records, item records, and procedures for adding, updating, and withdrawing materials in an integrated library system.
  • General knowledge of collection maintenance activities, including searching for missing items, pulling materials for weeding, and assisting with inventory projects.
  • Working knowledge of office and processing equipment, supplies, and tools used in material preparation, repair, mail handling, and related support work.
  • Skills:

  • Organizational and time management skills to complete detailed processing work accurately, manage routine assignments, and adjust to changing priorities.
  • Attention to detail to ensure library materials are processed, labeled, repaired, and cataloged consistently and accurately.
  • Technology skills to use library software, RFID equipment, label templates, office equipment, and other tools needed for material processing and catalog maintenance.
  • Problem-solving skills to identify item-status issues, locate missing materials, and resolve routine processing or repair concerns.
  • Communication and interpersonal skills to work effectively with coworkers, ask clarifying questions, and support smooth workflow across departments.
  • Collaboration skills to assist with collection maintenance, inventory, mail handling, and special projects as part of a team.
  • Basic level of technical proficiency skills, including computer applications and software such as Microsoft Office and Adobe Acrobat.
  • Abilities:

  • Ability to compose routine correspondence and routine reports in a clear, concise, logical, and effective manner, utilizing proper grammar, spelling, punctuation, sentence structure, and tone.
  • Ability to demonstrate accuracy, consistency, and care when handling library materials and maintaining item information.
  • Ability to follow established procedures, workflows, and quality standards for processing, repair, catalog maintenance, and supply management.
  • Ability to prioritize assigned work to meet department needs and maintain timely access to library materials.
  • Ability to adapt to changing assignments, project needs, and workflow priorities.
