Role Description The Administrative Assistant is a full-time, on-site role based in Janesville, WI. This position supports day-to-day office operations, including answering and directing phone calls, greeting visitors, managing mail, and maintaining organized records and files. The Administrative Assistant will schedule appointments, prepare and process basic documents, assist with data entry into agency systems, and help maintain accurate client information. The role also includes supporting agency staff with clerical tasks, coordinating communications with clients and carriers, and ensuring a professional and welcoming office environment.
Qualifications
- Strong Administrative Assistance and Clerical Skills to manage scheduling, filing, data entry, and general office support.
- Professional Phone Etiquette and Communication skills to interact clearly and courteously with clients, carriers, and colleagues.
- Ability to provide Executive Administrative Assistance, including preparing documents, organizing information, and supporting agency leadership.
- Proficiency with standard office software (e.g., Microsoft Office or similar tools) and the ability to learn insurance management systems.
- High attention to detail, accuracy in handling client information, and strong organizational skills.
- Reliable, self-motivated, and able to work on-site full time in a team-oriented environment.
- Prior experience in an office, customer service, or insurance setting is preferred but not required.
- High school diploma or equivalent required; additional training or coursework in business or office administration is a plus.
