Administrative Affairs Officer
Job ObjectiveTo execute and monitor administrative and secretarial tasks for the company, organize contracts, correspondence, reports, and documents, and follow up on accounts and payments to ensure tasks are completed accurately and promptly.
ResponsibilitiesPerform secretarial duties and organize appointments, meetings, and correspondence.
Prepare and coordinate official letters, memos, and reports, and follow up on their approval and signatures.
Prepare and follow up on contracts and agreements, organize, store, and archive them.
Organize and maintain files, documents, and official papers for the company electronically and on paper.
Follow up on administrative requests and transactions related to the company and coordinate with relevant departments and sections.
Monitor the company's accounts, payments, invoices, expenses, and financial transfers according to approved authorities.
Follow up on the payment of supplier invoices, services, government payments, and document payment processes.
Prepare and monitor account statements, financial and administrative tables, and ensure data is updated continuously.
Prepare tables and reports and databases using Excel.
Prepare and coordinate contracts, letters, reports, and templates using Word.
Follow up on transactions related to securities, real estate documents, and government platforms as needed.
Provide administrative support to management and departments and provide required documents, letters, and data.
Follow up on correspondence, mail, and internal requests and ensure they are completed on time.
Maintain the confidentiality of the company's data, contracts, accounts, and documents.
Qualifications and ExperienceBachelor's degree in a relevant field, preferably in Business Administration, Management, Accounting, or a related specialty.
Previous experience in administrative affairs and secretarial work.
Experience in preparing contracts, letters, and reports.
Good knowledge of accounts, invoices, and payments.
Excellent proficiency in Microsoft Excel and Microsoft Word.
Ability to prepare tables, reports, and organize data.
High skills in organization, follow-up, and time management.
Accuracy, speed, and responsibility.
Good communication and coordination skills.
