We are hiring a Temporary Infrastructure Planning & Scheduling Specialist for a major international sporting event in Saudi Arabia.
Position:Temporary Infrastructure Planning & Scheduling Specialist
Contract Duration:1st September 2026 - 28th February 2027 (Only candidates currently based in Saudi Arabia will be considered.)
Key Responsibilities Temporary Infrastructure Programme Development- Develop and maintain the integrated Temporary Infrastructure master programme covering Power, Overlay, and Dressing & Signage activities.
- Establish planning structures, programme hierarchy, work breakdown structures, coding systems, milestones, activity logic, calendars, and reporting requirements.
- Coordinate with discipline leads to develop detailed programmes covering design, procurement, manufacturing, logistics, installation, testing, commissioning, operational readiness, event operations, dismantling, and reinstatement.
- Ensure all discipline programmes align with overall project milestones, venue delivery schedules, operational readiness requirements, test event timelines, and event delivery dates.
- Develop planning templates and scheduling standards to ensure consistent programme development and reporting.
- Define key milestones including design approvals, procurement milestones, contract awards, access dates, mobilisation, installation completion, testing and commissioning, readiness activities, handover, operational periods, and dismantling completion.
- Develop detailed look-ahead programmes for critical Temporary Infrastructure activities.
- Ensure adequate time allowances are included for approvals, inspections, permits, authority reviews, testing, rectification, contingency, and readiness activities.
- Integrate Power, Overlay, and Dressing & Signage schedules into a coordinated Temporary Infrastructure delivery programme.
- Identify and manage dependencies between disciplines, including access requirements, construction sequencing, equipment locations, temporary utility connections, branding installation, and venue operational constraints.
- Coordinate Temporary Infrastructure schedules with other project functional areas and stakeholders.
- Ensure temporary works installation sequences are aligned with permanent works, venue improvements, testing activities, rehearsals, and operational requirements.
- Identify programme conflicts between contractors, disciplines, functional areas, and venue stakeholders.
- Facilitate planning workshops and interface meetings to resolve scheduling issues and agree delivery sequences.
- Maintain interface and dependency registers covering critical Temporary Infrastructure activities.
- Establish and maintain the approved Temporary Infrastructure baseline programme.
- Collect, validate, consolidate, and analyse progress updates from discipline leads, cluster teams, venue teams, contractors, and suppliers.
- Monitor actual progress against approved baselines and planned milestones.
- Identify critical and near-critical activities, delays, constraints, and potential milestone impacts.
- Conduct critical path analysis and schedule variance reviews across all work streams.
- Develop schedule forecasts based on progress, productivity, procurement status, and identified risks.
- Recommend mitigation, resequencing, acceleration, and recovery actions where required.
- Monitor recovery plans and evaluate their effectiveness.
- Prepare weekly and monthly look-ahead schedules and programme reports.
- Maintain accurate records of baseline schedules, updates, revisions, assumptions, constraints, approvals, and programme changes.
- Ensure consistent progress measurement methods across contractors, venues, and disciplines.
- Develop programme dashboards and reports covering milestones, critical activities, procurement status, installation progress, readiness status, and schedule risks.
- Prepare weekly, monthly, and ad-hoc programme reports for senior management.
- Provide programme updates for management meetings, governance reviews, and readiness assessments.
- Develop visual reporting tools including milestone trackers, progress curves, critical path summaries, look-ahead schedules, and readiness dashboards.
- Establish planning and schedule performance indicators for the Temporary Infrastructure function.
- Maintain regular reporting on design, procurement, manufacturing, delivery, installation, testing, commissioning, and handover status.
- Highlight key issues, responsible parties, required actions, deadlines, and potential programme impacts.
- Prepare presentations and decision-support materials for stakeholder meetings.
- Bachelor’s degree in Engineering, Construction Management, Project Management, Planning, or a related field.
- Minimum 7 years of experience in project planning, scheduling, programme controls, construction planning, or event infrastructure delivery.
