Why You’ll Love This PositionThe Office of Operational Support, Lead Administrative Support Assistant is a professional‑level position within the Division of Cannabis Regulation's Office of Operational Support. The cannabis industry in Missouri will be in the building and implementation phase of growth for many years to come. The successful candidate will be part of a dynamic, fast‑paced environment and will assist the Office of Operational Support in supporting and improving the regulatory program to ensure safe access to cannabis in Missouri for qualified patients and consumers.
The salary indicated represents a base pay rate. If the individual selected or the position is eligible for a pay differential (e.g., shift, security, or years of service), it will be added to the total compensation in your paycheck. A pay differential does not raise your base pay.
Responsibilities- Serve as Lead Administrative Support Assistant, responsible for a variety of support functions and services.
- Plan, assign, and coordinate the activities of Office of Operational Support Team members through the Chief of the Office of Operational Support.
- Oversee and ensure accurate and timely preparation, review, processing, and submission of a variety of fiscal, payroll, personnel, and other related documents.
- Serve as the Division's primary point of contact regarding submission and tracking of various workforce related information and documentation.
- Serve as the Division's primary point of contact for matters involving General Services (equipment, maintenance of assets, space needs, etc.)
- Prepare agendas, assemble meeting packets, arrange rooms/technology, take minutes, track action items, and distribute follow‑ups.
- Create purchase requests, process invoices, purchase orders, and expense reports and maintain inventory and equipment.
- Assist with special projects, process improvement, and event coordination.
- Manage scheduling for Chief of the Office of Operational Support and assists with the scheduling for Program Development Unit and Systems and Analytics Unit.
- Serve as back up when other divisional Lead Administrative Support Assistants are not available.
- High school diploma or equivalent. Associate degree or coursework in business administration, public administration, or a related field, preferred.
- 3-5 years of administrative, clerical, or customer service experience in an office environment. Experience in state government or public sector, preferred.
- Proficiency with Microsoft 365 (Outlook, Word, Excel, Teams, PowerPoint, SharePoint) and basic office equipment.
- Strong written and verbal communication; excellent attention to detail; ability to organize work, set priorities, and meet deadlines with minimal supervision.
- Demonstrated ability to maintain confidentiality and handle sensitive information.
