Monday – Friday, 8:00 a.m. – 5:00 p.m. Salary:
Commensurate with experience. Proposed Starting Date: 08/27/2026. Open until filled.
Provides administrative, project, and executive support to the Vice President for Instruction and associate vice presidents, overseeing day‑to‑day office activities, serving as the principal administrative contact and liaison with internal and external constituencies. Specialist support services may be required in budget, public relations, faculty affairs, general business or student affairs.
Minimum Qualifications- Bachelor’s degree or equivalent plus five years of related experience.
- Strong organizational skills.
- Service‑focused orientation and ability to work independently.
- Ability to prioritize workflow and advance goals of the Office of Academic Programs.
- Strong written and oral communication skills.
- Experience in executive‑level office support and understanding of academic institutions.
- Problem‑solving, multitasking, and teamwork.
- Planning and supporting institutional activities.
- Advanced Microsoft skills:
Word (styles, tables, images), Excel (formulas, multiple sheets, formatting, mail merge), PowerPoint (presentations), Outlook (calendar). - Confidentiality and discretion with sensitive information.
- Office Management: manage all calendar appointments for the Vice President and associate vice presidents; maintain confidential mail and filing system; monitor deadlines and bring issues to the Vice President’s attention.
- General Administration: provide general admin support, greet visitors, answer telephone, compose and edit correspondence; administer email listservs; order departmental parking passes.
- Financial Support: support budget processes (summer instruction budget, TA funding requests, teaching enhancement funds); prepare spreadsheets for campus proposals; review funding requests; process travel expense statements, payment requests, reimbursements, purchase orders; order supplies for VPI.
- Personnel Management: process position changes and job postings in UGAJobs; serve as Faculty Affairs Liaison; approve unit hiring proposals; oversee student workers in the Vice President’s office; collaborate with other staff to maintain office operations.
- Special Events: coordinate special events (staff recognition receptions, VPI directors retreats, other events); order awards and manage donor correspondence.
- Building / Equipment Administration: check in/out keys; serve as building security contact; submit maintenance requests; manage conference room schedule; act as telephone representative; work with IT personnel on equipment inventory and annual verification.
- Credit check required due to financial responsibilities.
- Security access (public safety, IT security, personnel records, patient records, or access to chemicals and medications) is required.
