SUMMARY: The Office Administrator will be responsible for efficiently managing the day-to-day administration operations of the office, with a focus on supply requisition, and general administrative support to operations and logistics. This role requires exceptional organizational skills, attention to detail, and the ability to multitask in a fast-paced environment to ensure these areas are completed efficiently to support the business.

ESSENTIAL DUTIES/RESPONSIBILITIES
  • Supply Requisition: Coordinate with purchasing and processing the procurement of office supplies, equipment, materials, and services in accordance with organizational needs and established procedures.
  • Shipping Documentation: Maintain all required shipping documentation, including completed Bills of Lading (BOLs), packing slips, and other shipment-related paperwork. Ensure documents are complete, accurate, and properly retained in ERP.
  • Shipping Document Processing: Print Bills of Lading, destination tags, and other required shipping documents after shipments have been scheduled by Logistics. Distribute all necessary paperwork to the Shipping Team to support accurate and timely shipment processing.
  • Post-Galvanizing Documentation: Collect, organize, scan, and upload all post-galvanizing paperwork into the ERP system to ensure accurate and complete records are maintained.
  • Logistics Coordination: Coordinate with carriers, Logistics, Shipping, and other internal departments to support the timely delivery and receipt of goods and ensure required documentation is available.
  • General Administrative Support: Provide general administrative support, including answering phones, managing correspondence, organizing office documents, and assisting other departments with administrative needs.
  • Record Keeping: Maintain organized and accurate filing systems for supply requisitions, shipping documentation, post-galvanizing records, and other administrative documents in accordance with company record-keeping policies and procedures.
  • Communication: Serve as a primary point of contact for internal and external stakeholders regarding administrative and documentation-related inquiries. Communicate effectively with team members, vendors, carriers, customers, and other stakeholders to support smooth daily operations.
  • Accuracy and Compliance: Ensure shipping and administrative documentation is accurate, complete, and processed in a timely manner. Identify and communicate missing or incorrect documentation to the appropriate department.
  • Perform all other duties and responsibilities as assigned by management.
EDUCATION, WORK EXPERIENCE AND PROFICIENCIES
  • High School diploma or equivalent.
  • Proven experience in administrative roles, preferably in a similar capacity.
  • Proficiency in MS Office suite (Word, Excel, Outlook, Etc) and other relevant software applications
  • Strong organizational skills and attention to detail
  • Excellent communication skills and interpersonal abilities
Preferred
  • Prior experience with purchasing, shipping, and administrative roles.
  • Familiarity with Epicor ERP systems.
  • Ability to prioritize tasks and manage time effectively in a dynamic environment.
  • Customer service experience and a positive attitude towards supporting internal and external stakeholders.
