Commercial Credit Administrative Assistant

Position Summary

The Commercial Credit Administrative Assistant provides administrative and operational support to the Commercial Credit Department by maintaining accurate loan documentation, organizing digital credit files, tracking financial information, and ensuring timely completion of administrative processes. This position plays an important role in supporting efficient credit administration through accurate recordkeeping, data entry, and document management while maintaining confidentiality and compliance with bank policies and regulatory requirements.

Essential Duties and Responsibilities

Credit File Administration

  • Digitally catalog, organize, and maintain commercial credit files in the bank's document management system.
  • Ensure credit files are complete, accurate, and properly indexed for easy retrieval.
  • File and maintain loan committee minutes and related documentation.
  • Assist with document retention and archival procedures in accordance with bank policies.

Financial Statement Administration

  • Track required borrower financial statements and covenant reporting deadlines.
  • Prepare and mail financial statement request letters to commercial borrowers.
  • Receive, organize, and file financial statements into electronic credit files.
  • Maintain tracking logs to ensure timely receipt of required documentation.
  • Notify Commercial Lenders or Credit Administration of missing or overdue financial information.

Loan Tracking & Data Management

  • Track newly approved loans and paid-off loans.
  • Update internal tracking reports and databases.
  • Perform accurate data entry into bank systems and spreadsheets.
  • Assist with maintaining departmental reports and loan tracking logs.
  • Verify information for completeness and accuracy before processing.

Administrative Support

  • Provide general administrative support to Commercial Credit staff.
  • Prepare correspondence, reports, and forms using Microsoft Word and Excel.
  • Scan, copy, upload, and distribute documents as needed.
  • Answer departmental telephone calls and respond to routine inquiries.
  • Assist with special projects and other administrative duties as assigned.

Pay Range $17.43 to $21.78

Position Requirements Required Knowledge
  • General office administrative procedures.
  • Document management and filing practices.
  • Basic understanding of banking documentation and confidentiality requirements.
  • Proficiency in Microsoft Word and Microsoft Excel.
