Job Description Secretarial

  • TITLE: Guidance Secretary
  • SUMMARY:
    • Assist the Counseling Department in performing duties to assure the smooth and efficient operation of 504 process.
  • REPORTS TO:
    • Building Administration
  • PROFESSIONAL REQUIREMENTS:
    • High School diploma
    • Organizational skills.
    • Ability to work with technology programs (advanced hardware and software)
    • Ability to work under pressure and deadlines.
    • Ability to perform duties in accordance with general educational ethical requirements of the Jerome School District and the State Department of Education
  • DUTIES AND RESPONSIBILITIES:
    • Serve as a confidential secretary to the building administration following generally accepted principles in dealing with confidential employee and student information.
    • Possess the ability to prioritize assignments in a flexible manner to accommodate the changing demands in the office.
    • Perform general office procedures such as answering telephones; receiving and distribution of mail; responding to questions from students, parents, staff, and patrons; and setting appointments
    • Produce letters, memos and purchase orders as necessary.
    • Communicate with students, parents, employees, and patrons in writing and orally
    • Maintain appropriate records and a calendar of events.
    • Maintain a current accounting of program funds, including the receiving, depositing and payment of funds
    • Maintain and submit appropriate reports to building, district administration, and government agencies as appropriate in a timely manner.
    • Translation services as applicable; by personal translating or securing a translator prior to meeting with parents.
    • Schedule 504 meetings and monitor 504 caseloads.
    • Work with counseling department staff, assisting with the 504 processes.
    • Prepare and maintain fixed asset inventory in conjunction with district guidelines
    • Perform other tasks and assume other responsibilities as the program administrator may deem necessary.
  • PHYSICAL DEMANDS AND WORK ENVIRONMENT:
    • While performing the duties of this job, the employee frequently stands, walks and sits. The employee may occasionally push or lift up to 50 lbs, such as boxes of books and AV/VCR carts. Specific vision abilities required by this job include close vision such as ability to read handwritten or typed material, and the ability to adjust focus. The position requires the individual to successfully meet multiple demands and interactions with the public and other staff.

      The noise level in the work environment is generally moderate. Duties are performed indoors and occasionally outdoors.

Terms of Employment: 210 days per year, 8 hours per day (does not include unpaid lunch)

This position shall be considered in all respects "employment at will" and the terms set forth in this job description shall not create a property right and are set forth only to advise the employee of when and what types of services will be required by the District.

Evaluation: Performance of this position will be evaluated periodically by the Building Principal or a designee in conformance with District policy relating to evaluation of classified employees.
