BASIC SCOPE/PURPOSE
Summary:
We are seeking a highly organized and proactive Corporate Analyst/Executive Assistant to support senior leadership in a fast-paced 3PL environment. The ideal candidate will manage complex calendars, arrange domestic/international travel, and provide administrative support utilizing Microsoft Office Suite. This role requires exceptional communication skills and the ability to act as a gatekeeper to ensure executives can focus on strategic logistics operations.
- Microsoft Office Proficiency:
Create, edit, and format reports, presentations, and correspondence using MS Word, Excel, and PowerPoint. - 3PL Support:
Assist with executive-level reporting and performance metrics. - Communication & Gatekeeping:
Manage executive inboxes, prioritize urgent communications, and act as a liaison between the leadership team, clients, and partners. - Meeting Logistics:
Coordinate on-site and off-site meetings, including room setup, video conferencing (Teams), and documentation preparation. - Travel Coordination:
Plan, book, and coordinate detailed travel arrangements (flights, hotels, ground transportation) and create comprehensive itineraries. - Expenses & Records:
Prepare, submit, and track travel expense reports and maintain confidential records.
- Experience:
5+ years of experience as an executive assistant, ideally within a logistics, supply chain, or transportation company. - Technical
Skills:
Expert proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and experience with Teams. - High level of discretion and confidentiality.
- Organization:
Strong ability to multitask, prioritize, and work independently in a fast-paced environment. - Communication:
Excellent written and verbal communication skills for professional interaction with internal and external stakeholders.
While performing duties of this job, the work environment may vary from professional office and other vendor/client locations.
TravelThis position will require you to travel in the CONUS about 10% of the year.
Physical DemandsWhile performing the duties of this job, the employee is regularly required to talk or hear. The employee is frequently required to stand, walk, and sit.
