Summary

Description:

The Advancement Services Officer will play a key role in supporting the Advancement Team. This entry-level role assists with database management, gift processing, event registrations, prospect research, and general administrative support. Additionally, the position supports the annual fund, alumni relations, and special events teams' back-office responsibilities. The Officer will perform various administrative tasks to ensure the smooth operation of the Advancement Team.

The Officer reports to the Director of Advancement Services.

Responsibilities
  • Assist with accurate and timely gift processing, event registration, donor record management, and donor acknowledgment in compliance with CASE guidelines, IRS requirements, and School policy.
  • Review, interpret, add, and update biographical information and process gift adjustments to enhance donor profiles and ensure data integrity, and accurate reporting and gift recording in the database.
  • Assist in generating timely and comprehensive financial reports.
  • Responsible for becoming cross-trained in other functions of the Advancement Services Area, including the prospect management process and the ability to perform basic prospect research and query/list generation.
  • Support the administration and maintenance of scholarship and gift agreement records, including associated pledges, documentation, reports, and Raiser's Edge records.
  • Own the day-to-day administration of Boost My School  and other Advancement technology platforms as assigned, ensuring effective use, data integrity, user support, troubleshooting, and coordination with vendors.
  • Perform routine data quality review and maintenance, including identifying and resolving duplicate records, incomplete or inconsistent constituent information, coding issues, and other data discrepancies in Raiser's Edge.
  • Maintain constituent codes, relationships, attributes, and other key data elements in accordance with established Advancement Services standards to support accurate segmentation and reporting.
  • Assist with the entry, maintenance, and review of pledges, pledge payments, schedules, adjustments, and related documentation in Raiser's Edge.
  • In collaboration with the Annual Fund Team, assist with Raiser's Edge and other advancement technology platforms for creating and sending emails.
  • Assist the Alumni Relations and Special Events Teams with administrative tasks.
  • Performs other duties as assigned by the Director of Advancement Services and Vice President of Advancement.

Education:

Experience:
  • Minimum of 1-3 years of professional work experience in fundraising, data management, or a directly related field to demonstrate sufficient knowledge, skill, and ability to perform the essential functions of the position.
  • Knowledge of Excel.

Other Considerations:

The person in this position must be flexible around the needs of the School, which includes occasional evening and/or weekend hours. Raiser's Edge experience is preferred.
