Job Description

We are seeking a Procurement Specialist to support procurement, purchasing, vendor coordination, and supply chain activities within a regulated pharmaceutical manufacturing and business operations environment. The resource will work closely with internal stakeholders, suppliers, finance, legal, sourcing, and project teams to support purchase requests, supplier onboarding, PO processing, contract follow-up, invoice issue resolution, and procurement documentation.

Responsibilities
  • Support day-to-day procurement activities, including purchase requisitions, purchase orders, supplier follow-ups, quote collection, and order tracking.
  • Coordinate with internal business teams to understand purchasing needs, required timelines, supplier requirements, and project priorities.
  • Work with vendors and suppliers to obtain pricing, quotes, delivery timelines, required documentation, and order status updates.
  • Assist with supplier onboarding, vendor setup, documentation collection, and compliance-related procurement requirements.
  • Create, review, and track purchase requisitions and purchase orders in procurement systems such as SAP, Ariba, Coupa, or similar platforms.
  • Monitor open POs, delivery status, invoice issues, and payment-related follow-ups to ensure timely closure.
  • Support procurement documentation, including supplier records, purchase approvals, contracts, statements of work, change orders, and invoice backup.
  • Collaborate with Finance, Accounts Payable, Legal, Sourcing, and business stakeholders to resolve procurement and vendor-related issues.
  • Maintain accurate procurement records and ensure purchasing activities follow company policies, approval workflows, and compliance expectations.
  • Support sourcing and procurement reporting, spend tracking, supplier performance follow-up, and process improvement initiatives.
  • Assist with contract renewals, supplier communications, and coordination of procurement activities for ongoing projects.
  • Identify and escalates delays, supplier issues, documentation gaps, pricing concerns, or process bottlenecks to appropriate stakeholders.
Qualifications
  • Bachelor s degree in Business, Supply Chain, Finance, Operations, or related field preferred.
  • 3+ years of procurement, purchasing, sourcing, supply chain, vendor management, or business operations experience.
  • Experience supporting procurement activities in pharmaceutical, biotechnology, healthcare, life sciences, or other regulated environments preferred.
  • Hands‑on experience with procurement systems such as SAP, SAP Ariba, Coupa, Oracle, or similar platforms.
  • Strong understanding of purchase requisitions, purchase orders, vendor setup, invoice coordination, and supplier documentation.
  • Ability to work with cross-functional teams including Finance, Legal, Sourcing, Operations, and external suppliers.
  • Strong attention to detail, documentation skills, follow-up skills, and ability to manage multiple priorities.
  • Good communication skills and ability to work in a fast-paced environment with changing priorities.
  • Proficiency with Microsoft Office Suite, especially Excel, Outlook, Word, PowerPoint, and SharePoint.
Preferred Skills
  • Experience with SAP Ariba, Coupa, or similar enterprise procurement tools.
  • Experience supporting vendor onboarding, contract coordination, and PO/invoice issue resolution.
  • Prior experience in a GMP, pharmaceutical, biotech, or regulated business environment.
  • Understanding of compliance, approval workflows, documentation control, and supplier management.
