Guildco is a growing, multi-disciplinary business operating across construction, mining, procurement and project delivery in South Africa and broader Africa. We are seeking a Marketing and Operations Administrator to support our commercial, marketing and operational functions.
This role is ideal for an experienced administrator with a graphic design or layout background, who enjoys working on proposals, RFQs, presentations and business documentation, while also supporting day-to-day operational admin. The role sits at the intersection of marketing, operations and commercial support, and offers strong exposure to real business decision-making.
Key Responsibilities- Assist with preparation and coordination of RFQs, quotations, proposals and tenders
- Design and format company profiles, brochures, capability statements, presentations and proposal layouts
- Maintain brand consistency across all marketing and commercial documents
- Support basic marketing administration, including document updates and content preparation
- Assist with operational and procurement administration, including: RFQ tracking, Supplier follow-ups, Document control and filing
- Capture and manage data on Sage (or similar ERP/accounting systems) – training can be provided
- Support diary coordination, internal scheduling and administrative tasks as required
- Maintain organised digital filing systems (SharePoint / One Drive / Google Drive)
- Minimum 5 years’ relevant experience in an administrative, marketing support, operations or similar role
- Diploma or degree in Graphic Design, Marketing, Communications, Business Administration or related field
- Strong document layout and formatting skills (InDesign, Illustrator, Canva, PowerPoint or similar)
- Solid working knowledge of Microsoft Word, Excel and Outlook
- Ability and willingness to learn or work on Sage or other ERP/accounting systems
- High attention to detail and ability to manage multiple priorities independently
- Strong written and verbal communication skills
- Organised, reliable and proactive work ethic
- Comfortable working in a small, fast-moving business environment
- Legally eligible to work in South Africa
- Experience supporting RFQs, proposals or tenders
- Exposure to construction, mining, engineering or industrial sectors
- Prior involvement in procurement or supplier coordination
- Stable permanent role in a growing business
