Overall Context of the job

To provide a highly efficient and responsive service to the principals and the family office. The role requires the ability to work well independently, and as part of an international team of Executive Assistants based in South Africa, and the UK providing service to 5 principals.

An absolute prerequisite for this role is to have inherent awareness of confidentiality and an exceptional level of service

Purpose of the job

Responsible for managing a varied range of tasks which support the lifestyles of the family and the operational running of the family office.

Duties and Responsibilities
  • Work as a team with the other Executive Assistant’s and family office staff to provide a first-class service to the family.
  • Provide excellent diary management for principals
  • Attend to all domestic and international travel arrangements for the principals where required
  • Work closely and effectively with the family office and property staff at the family’s SA properties which includes all aspects of property management
  • Responsible for distribution of incoming and outgoing post and packages for the principals.
  • Facilitate meetings and or events as required to include bookings, hospitality, accommodation, travel logistics
  • Assist with any personal shopping for the principals
  • General office administration for the principals which includes welcoming visitors, answering telephone, assisting with invoices where necessary
  • Build and maintain strong relationships across all levels of the family office
  • Perform any additional administrative or personal tasks required by the principals and their families
Skills and Qualifications
  • Proven experience in a similar role
  • Pro‑active “can do” attitude
  • Excellent communication and interpersonal skills
  • Strong initiative and ability to manage multiple tasks

    Ability to work efficiently both independently and as part of an international team
  • Good decision-making skills
  • Experience in event management & logistics
  • Excellent time management
  • High attention to detail and with strong organizational skills
