Job Description
Blue Pearl is seeking a highly organized, proactive, and detail-oriented Personal Assistant to support the CEO. The successful candidate will play a critical role in ensuring the smooth day-to-day operation of the CEO’s office, managing schedules, meetings, travel, and logistics, while providing professional administrative and operational support.
Key Responsibilities:Executive & Diary Management
Manage and maintain the CEO’s diary, ensuring efficient scheduling and prioritization of meetings.
Coordinate internal and external meetings, including preparation and follow-ups.
Act as the primary point of contact between the CEO and internal/external stakeholders.
Meetings & Office Coordination
Book and manage boardrooms and office meetings.
Prepare agendas, take accurate minutes during meetings, and distribute action items.
Ensure meeting logistics are arranged (venues, equipment, catering where required).
Travel & Accommodation
Book flights, accommodation, and ground transportation for the CEO.
Manage travel itineraries and ensure seamless end-to-end travel arrangements.
Events & Logistics
Coordinate logistics for company events, workshops, and executive functions.
Liaise with vendors, venues, and service providers to ensure successful event execution.
Administrative Support
Handle confidential and sensitive information with discretion.
Assist with general office administration duties as required.
Support ad-hoc tasks to ensure the smooth running of executive and office operations.
Key Requirements:
Proven experience as a Personal Assistant, Executive Assistant, or similar role.
Strong organizational and time-management skills.
Excellent written and verbal communication skills.
Ability to multitask, prioritize, and work under pressure.
High level of professionalism, discretion, and confidentiality.
Proficiency in Microsoft Office / Google Workspace tools.
Strong attention to detail and problem-solving ability.
Desirable Skills & Attributes:
Experience supporting C-level executives.
Event coordination or logistics experience.
Proactive, self-driven, and solution-oriented mindset.
Ability to work independently and collaboratively.
