An exciting opportunity exists in the Real Estate Department in the Johannesburg office for a Conveyancing Secretary.

The ideal candidate needs to be a pro-active legal secretary who will provide Conveyancing and administrative support to the team. A hardworking, self-motivated with excellent interpersonal and organising skills and the ability to work independently with minimal supervision will thrive in the position.

Qualifications and Experience

  • Matric/Grade 12
  • A paralegal, secretarial, or administrative diploma in conveyancing would be advantageous
  • At least five years' experience in a similar environment, working on FNB Private Wealth/RMB Private Banking.
  • Proficiency in Lexisconvey, AJS and Repstor - would be advantageous.

Key Responsibilities

The responsibilities of the position include but are not limited to:

Conveyancing Secretarial tasks

  • Acknowledging receipt of instructions
  • Scrutinizing instructions from the bank and complying with the conditions of loans granted
  • Drafting bond and transfer documents
  • Arranging consultations with clients
  • Preparing documentation and arranging for clients to sign
  • Ensuring that clients comply with conditions of sale and FICA requirements
  • Typing legal documents and correspondence
  • Updating electronic systems
  • Ensuring that financial aspects of the transaction are in order and collecting payment
  • Facilitating lodgement and registration

Administrative tasks

  • Maintaining an updated filing system
  • Following up on outstanding requirements and communicating with clients Attending to telephonic and email queries and requests from clients
  • Closing of files

Skills and Competencies

  • Good interpersonal and communications skills
  • Excellent secretarial and typing skills
  • Strong organising skills, meticulous with a high attention to detail
  • Ability to work toward meeting tight deadlines in a highly pressurized environment
  • Taking Initiative and assuming responsibility for ensuring expeditious processing of transactions
