What

You'll Do

EA Team Lead Responsibilities include, but not limited to those listed below:

  • Functional management of 10+ Executive Assistants in the Johannesburg office, including but not limited to:
    • Ensuring adherence to service level and quality standards
    • Ensuring correct behaviours aligned to BCG’s values, and intervening when required
    • Performance management, including conducting performance improvement processes and disciplinary processes when required
    • Allocating and balancing responsibilities
    • Approving leave
    • Allocating cover during leave and sick leave
    • Ensuring seamless handovers
    • Training and coaching
    • Onboarding new EAs
    • Managing coordination and alignment with other departments
  • Acts as a mentor to members of the EA team, highlighting areas of concern to HR Director and Business and Operations Director
  • Managing outsourced EAs, including allocation of new stakeholders to their EAs and ensuring adequate performance of outsourced EAs
  • Collaborate with Africa EA team leads to encourage knowledge and best practice sharing
  • Participate in the recruitment process of future EA’s as required
  • Understand pain points in the wider team and creates valuable solutions
  • Develop ideas for new initiatives and projects that benefit the EA and wider Business Support Team.
  • Point of contact for the EA Team to help manage the flow of information from Leadership Team through to EA’s
  • Where appropriate prepare and circulate meeting agendas and materials, follow up on action items for team meetings.

EA Role to the OL and Business & Operations Director

  • Meeting scheduling, calendar management and optimisation, including proactive conflict management and resolution, based on a thorough understanding of OL’s priorities and responsibilities
  • Client relationships development to facilitate the information flow and scheduling process
  • Proactive management of travel, including flights, accommodation, visas and local transportation
  • Expenses and timesheet management
  • Meetings and events logistics management
  • Proposal support and vendor management including but not limited to: vendor registration, preparing administrative documents (copying and book binding), liaising with client to arrange pitch meetings
  • Supporting the logistics and set-up of office and leadership events and meetings
  • Various other forms of support to OL as required

Additional Areas of responsibility including but not limited to:

  • Own and manage additional projects aimed at improving EA-related processes and increasing the impact of the EA team, as directed by the Leadership
What You'll Bring

JOB REQUIREMENTS:

  • The requirements listed below are representative of the knowledge, skill, and/or ability required:
  • 10 years’ experience in an Executive Assistant (EA) role or similar
  • Proficient computer skills:
    Windows Operating System, Outlook, calendar and travel management systems, expense tools, Virtual collaboration platforms (Zoom, Slack, Teams), Word, Excel, and PowerPoint.
  • Fluent in English with excellent written and verbal communication skills
Who You'll Work With

Work in collaboration with the Business and Operations Director to lead, manage and develop the EA team, while providing direct EA support to the Johannesburg Office Leader (OL) and Business & Operations Director.
