Essential Attributes

  • Work cooperatively with other employees of the work unit and embrace a teamwork approach to completing tasks.
Essential Tasks
  • Understand Fine and Forfeitures and their appropriate distributions per Florida Statutes, as well as internal computer systems that handle those functions.
  • Perform regular reconciliations of accounts, identifying and resolving discrepancies in a timely manner.
  • Prepare journal vouchers to record accounting entries and adjustments.
  • Set up new suppliers in Oracle; update and maintain current suppliers.
  • Manage the Clerk’s Purchasing Card to include payment, entering receipts into Oracle, and reconciling.
  • Provide exceptional customer service to internal and external customers by responding to all inquiries, phone, email, etc., in a timely fashion.
  • Professionally address and resolve customer inquiries by using good problem solving and decision-making skills.
  • Enter and audit into Oracle personnel and payroll transactions necessary to process the bi-weekly payroll.
  • Manage workflow to ensure all payroll transactions are processed accurately and timely; prepare and execute payroll processing.
  • Reconcile and prepare Florida Retirement System file and payment.
  • Reconcile and prepare the Federal Taxes for remitting to the appropriate depository.
  • Prepare vouchers to remit the payroll deductions for the correct payees.
  • Review and prepare the vouchers and journal entries for payment of manual checks for refund or reissued payroll checks.
  • Ability to competently perform payroll processing using the Oracle payroll system.
  • Prepare the garnishment deduction for court-ordered garnishments.
  • Prepare and review payroll liability General Ledger reconcilements.
  • Reconcile and/or analyze any GL accounts on a timely basis as assigned.
  • Participate in writing standard operating procedures.
  • Maintain confidentiality of information learned or acquired as part of the position.
  • Being able to work in a constant state of alertness and safe manner.
  • Perform other related work as required.
Minimum Skills / Qualifications
  • Bachelor's Degree preferred from an accredited four-year college or university in accounting or a minimum of 4 years of direct experience.
  • Ability to read and interpret documents such as statutes, safety rules, operating and maintenance instructions, procedure manuals and technical materials.
  • Ability to manage multiple tasks and changing priorities while meeting critical deadlines.
  • Ability to write routine reports and correspondence.
  • Ability to create and follow detailed procedures through multi-step processes.
  • Ability to apply concepts such as fractions, percentages, ratios and proportions to practical situations.
  • Ability to apply general accounting principles and methods.
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral or diagram form.
  • Ability to deal with problems involving several concrete variables in standardized and abstract situations.
