Job OverviewWe are seeking a highly organized and proactive Executive Administrative Assistant to support our healthcare practice. This vital role involves managing administrative tasks, coordinating projects, and providing exceptional support to our executive leadership team. The ideal candidate is detail oriented, resourceful, and capable of managing multiple priorities in a fast-paced environment.
Responsibilities- Manage calendar schedules using Microsoft Outlook Calendar and Microsoft Teams, ensuring optimal time allocation for executives.
- Coordinate meetings, conferences, and events, including planning logistics and handling all related documentation.
- Provide comprehensive executive administrative support, including drafting correspondence, proofreading documents, and transcribing meeting notes.
- Screen calls, emails, and other communications
- Facilitate project coordination by tracking deadlines, preparing reports, and ensuring timely completion of tasks.
- Assist with special projects and strategic initiatives.
- Serve as liaison between executives, employees, and clients.
- Proven experience in administrative roles within healthcare or professional office settings.
- Strong organizational skills with the ability to multitask efficiently in a fast-paced environment.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and data entry tools.
- Excellent typing speed along with transcription and proofreading capabilities.
- Familiarity with office software such as Docu Sign for electronic signatures.
- Experience with office equipment including multi-line phone systems and front desk operations.
- Knowledge of bookkeeping practices using Quick Books and basic financial recordkeeping.
- Exceptional communication skills with polished phone etiquette and customer service orientation.
