Education: High School Diploma or GED;
Secretarial Experience.
Experience: Experience working in an office setting performing administrative duties.
Skills, Knowledge, and Abilities: Written and oral communication skills; ability to operate office machinery and handle multiple tasks; computer competence; typing and proofreading skills; pleasant personality; cooperative attitude.
Primary FunctionTo perform responsibilities listed below and maintain a working relationship with principal, administration and instruction staff, associates, parents, students, and the general public.
Performance Responsibilities- Carry out the responsibilities of a receptionist
- Keep office attractive to reflect the spirit of the school
- Greet visitors and give directions to the appropriate person/place
- Answer the phone and take messages for all staff
- Assist with student and parent needs on demand
- Call for students as needed by parents or administration
- Update voicemail computer and voice system
- Identify authorized person who is picking up a child during/after school
- Organize Emergency Cards
- Record and file tardy slips
- Assist in maintaining the confidentiality of students and staff
- Assist other secretarial staff as needed
Provide assistance to principal and teachers in preparing materials and maintaining school records
- Filing
- Distributing information for personnel
- Distributing incoming fax information
- Make copies for classrooms and office
- Make postcards and labels to mail school information to parents and students
- Send out parent e-mails on a monthly/as needed basis
- Create various forms for office, teacher, student use
- Supervise the posting of school announcements
- Assist principal and teachers with children who have special needs
- Assist students with medical needs (medication, bandage, etc.)
- Direct students with discipline issues to their destination
- Assist in receiving, storing, making inventory, and disbursing instructional supplies and materials
- Assist all mail providers and distribute materials to staff (UPS, Fed Ex, etc.)
- Performs other duties as assigned by the principal
- Performance of this job will be evaluated annually in accordance with provisions of the HCSS Board of Control's policy on Personnel Evaluations.
