Daily Service Administrator

Daily Service Administrator Functions:

  • Responsible for timecard processing of managers and direct support professionals, including verifying hours worked
  • Responsible to approve mileage and expense for managers
  • Responsible for review of critical incident reports
  • Responsible for monitoring quality client services by reviewing samplings of Client Life Plans, Behavior Support Plans, and progress notes.
  • Responsible for holding weekly team meetings with managers and attending regular Operations meetings individually with the COO as well as with the entire operations team.
  • Responsible for monitoring completion and content of 90 day and annual performance reviews to ensure timely and appropriate reviews.
  • Responsible for the training and development of new and existing Daily Service Managers, specifically utilizing Frontline Supervisor Training.
  • Mentoring new and existing Daily Service Managers, including the assignment of mentors and the completion of the New Manager Training Handbook
  • Responsible to assist Daily Service Managers in the hiring of team leaders
  • Responsible to hire for the Daily Service Manager team
  • Responsible to gain and maintain professional and supportive relationships with managers focused on the development of Daily Service Managers
  • Responsible to complete weekly supervision with Managers reviewing:
    • What has gone well
    • The systems of permanent schedules, billing, DSP notes, and relationships with DSPs/TLs
    • The Numbers:
      Budget/Financials/Billing, outcomes, and relevant employee reports (i.e. Overtime, Status Monitoring etc.)
    • Challenges for the manager include how they need support from the Administrator
    • Manager learning
    • Manager self-care
  • Manager Functions:

    Operational Functions:

  • Establishes and maintains an environment of effective teamwork that accomplishes the desired outcomes.
  • Ensures all services to clients meet the highest quality possible through effective leadership.
  • Train and develop Team Leaders in monthly training classes;
    Facilitate Team Lead Development Committee
  • Ensures staffing is sufficient in number, properly trained, and utilized in the most effective manner and that all shifts are covered.
  • Ensures staff provide client services that are person-centered and according to the client's preferences.
  • Ensures effective relationships between all stakeholders of the organization.
  • Ensures clients are educated and empowered to make choices about services.
  • Ensures employees receive 90 day and annual reviews timely.
  • Administrative Functions:

  • Assures the service operates according to established policies and procedures and in compliance with all applicable federal, state, local and contractual regulations.
  • Responsible for the accuracy and timeliness of all documents and reports and that staff are held accountable for.
  • Responsible for developing and communicating budgets based on client service agreements and that budgeted hours are provided.
  • Public relations activities to include, but are not limited to; speaking to potential clients and their teams about services, speaking to civic groups, schools and representing the organization in the community.
  • Responsible for attending pertinent meetings as agreed with the COO, which may include provider meetings, conferences, business meetings, etc.
  • Responsible for maintaining indirect payroll costs to a level that ensures administrative burden, training and development are conducted, while ensuring that billable hours are maximized.
  • Participates in Strategic Planning and Quality Enhancement efforts and Implements quality enhancement plan to maintain the continuous quality improvement of services.
  • Acts as a member of the Executive Leadership and Administration Team to establish direction and implement vision for the organization.
  • Participate in and attend assigned Committee Meetings
  • Requirements:

    Education/Training/Licenser/Certification Requirements:

    • BA in Human Services or a related field plus three years of supervisory experience and three years of experience in the field
    • Working knowledge of person-centered planning and person-centered supports
    • Working knowledge of IAC preferred
    • Valid Iowa Driver's License
    • Proof of Automobile Insurance
