Position Summary

This position provides executive-level support to the Executive Vice President and Chief of Staff and requires exceptional communication skills, discretion, and the ability to manage multiple priorities in a fast-paced environment. This position serves as a resourceful problem-solver, exhibiting a high level of professionalism and confidentiality.

Job Duties and

Key Responsibilities
  • Provide high-level administrative support including calendar management, meeting coordination, and travel arrangements.
  • Prepare and edit correspondence, reports, presentations, and other documents.
  • Assist in managing executive communications, including email and phone inquiries.
  • Coordinate logistics for internal and external meetings, including agendas, materials, and follow-ups.
  • Track and manage deadlines, action items, and deliverables for strategic initiatives.
  • Support special projects and confidential assignments as directed by the Chief of Staff and Executive Vice President.
  • Maintain organized filing systems and records, both digital and physical.
  • Liaise with internal departments and external stakeholders on behalf of the executives.
  • Maintain absolute confidentiality regarding all matters within the Office of the President.
  • Provide coverage to the Office of the President in the absence of Executive Assistant to the Vice President.
  • Perform related duties as assigned.
  • Minimum Qualifications
  • Associate's Degree in Business or related field.
  • Three (3) years of experience in an executive level administrative support.
  • Proficient in MS Office Suite (Word, Excel, Visio, PowerPoint and Outlook) and Adobe Acrobat.
  • Excellent oral, written, and interpersonal communication skills, detail-oriented with the ability to proofread and type accurately.
  • Excellent customer service skills with the ability to effectively work with minimal supervision.
  • Ability to establish and optimize efficient office organization.
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response.
  • Ability to establish and maintain cooperative and effective working relationships with other members of the college and community, displaying cultural competence as well as emotional intelligence.

  • Preferred Qualifications
  • Bachelor's degree in business or related field
  • Five (5) years of office experience, preferably in a higher education environment.
  • Workday experience.
  • English and Spanish verbal and written communication proficiency.
  • Demonstrated multicultural competence.
  • Physical Demands
  • Normal office physical demands.
  • Ability to travel between campus locations and to and from community events.
  • Working Conditions
  • Duties are performed indoors in the usual office and/or outdoor environment.
  • Part time, approximately 28 hours per week, with flexibility to support occasional extended hours based on executive needs.
  • On-campus position, not eligible for remote work.
