About the role
The Administrative Assistant provides general administrative business support, including scheduling, correspondence, filing, mail handling, inventory management, and support to assigned Executive Assistant to CEO/CFO if applicable.
Key Responsibilities- Answer and route phone calls to appropriate parties.
- Schedule and coordinate meetings and appointments.
- Prepare and distribute correspondence, memos, and reports.
- Maintain electronic and physical filing systems.
- Process incoming and outgoing mail and packages.
- Manage inventory and office supplies.
- Read and route incoming mail, locate and attach appropriate files to correspondence for company response.
- Answer and screen telephone calls; arrange conference calls.
- Coordinate manager schedule and/or make appointments.
- Welcome scheduled visitors and conduct them to the appropriate area or person.
- Conduct research, compile statistical reports.
- Coordinate and arrange meetings, prepare agendas, reserve and prepare facilities, record and transcribe minutes of meetings.
- Make copies of correspondence or other printed materials.
- High school diploma or general education degree (GED).
- Minimum of 2 years of related work experience or equivalent combination of education and experience.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational, time‑management, and multi‑tasking skills.
- Ability to prioritize tasks and work independently.
- Ability to read, analyze, and interpret general business/professional journals, technical procedures, or regulations.
- Ability to write reports and/or business correspondence.
- Ability to effectively present information and respond to questions from groups of managers, customers, or other employees.
- Freedom to work from another location—including an international destination—for up to 30 consecutive calendar days per year.
